POSITION SUMMARY
On Site Placement is recruiting a receptionist to provide front-line administrative and customer service at our North office. The Receptionist serves as the first point of contact for participants, visitors, and stakeholders and plays a key role in creating an organized and welcoming environment.
This role supports daily office operations by managing reception duties, scheduling, records management, accurate data entry, and clerical support for program staff. The Receptionist works closely with programs and administrative staff to ensure smooth service delivery, precise documentation, and a positive client experience.
KEY RESPONSIBILITIES
- Greet participants, visitors, and stakeholders in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls and general inquiries.
- Schedule appointments and support calendar coordination for program staff.
- Perform accurate and timely data entry into the client management system, ensuring all records are complete, up to date, and consistent with program requirements.
- Maintain filing systems, administrative records, and office documentation with a high level of attention to detail.
- Review and verify data entries for accuracy and completeness, flagging discrepancies to the appropriate staff member.
- Provide clerical and administrative support to the program staff.
- Maintain confidentiality and professionalism in all client interactions and data handling processes.
- Support the day-to-day use and operations of the Resource Centre space, including monitoring usage, updating Job & Resource boards, and providing printing support for clients’ job search needs.
QUALIFICATIONS
- Certificate or diploma in Office Administration or a related field preferred.
- Previous experience in a receptionist, administrative, or customer service role.
- Demonstrated ability to perform accurate data entry and maintain organized records.
- Strong interpersonal and communication skills.
- Excellent organizational and time management abilities.
- Exceptional attention to detail and commitment to data accuracy.
- Ability to work independently and as part of a team.
- High level of professionalism, discretion, and confidentiality.
TECHNICAL SKILLS
- Proficiency in Microsoft Office Suite, including:
- Word
- Excel
- Outlook
- Experience with client management, data entry, or scheduling systems is an asset.
- Comfortable learning new software systems and digital tools.

WORKING CONDITIONS
Vulnerable Sector Check required. Hours of work: Monday to Friday, 8:00 AM – 4:00 PM
