The Inventory Manager is responsible for overseeing and executing the procurement, storage, tracking, distribution, and optimization of inventory across the company's residential rental properties, maintenance operations, construction projects, and administrative facilities. This role ensures that materials, supplies, equipment, and replacement parts are available when needed while minimizing waste, shortages, and excess inventory.
The Inventory Manager works closely with Maintenance, Construction, Property Management, and Accounting teams to maintain efficient inventory systems, support operational excellence, and achieve cost-saving initiatives.
Key ResponsibilitiesInventory Management
- Maintain accurate inventory records across all company locations.
- Develop and manage inventory control procedures and best practices.
- Monitor stock levels and establish minimum and maximum inventory thresholds.
- Conduct regular cycle counts and physical inventory audits.
- Investigate and resolve inventory discrepancies.
- Track inventory movement between warehouses, properties, and project sites.
- Manage inventory software and reporting systems.
Procurement & Vendor Management
- Source materials, equipment, and supplies from approved vendors.
- Obtain quotations and negotiate pricing where appropriate.
- Coordinate purchasing activities with maintenance and construction teams.
- Monitor supplier performance regarding pricing, delivery, and quality.
- Identify opportunities for bulk purchasing and cost savings.
- Maintain relationships with suppliers and distributors.
Maintenance & Construction Support
- Ensure critical maintenance and repair parts are consistently available.
- Coordinate inventory requirements for capital projects, renovations, and new developments.
- Forecast material requirements based on seasonal maintenance and project schedules.
- Work with department managers to plan inventory needs proactively.
Warehouse & Logistics Management
- Organize warehouse operations to maximize efficiency and accessibility.
- Establish proper storage procedures and safety standards.
- Coordinate receiving, inspection, storage, and distribution of materials.
- Manage delivery schedules between company facilities and properties.
- Oversee inventory handling equipment and storage systems.
Financial Control & Reporting
- Monitor inventory costs and inventory carrying expenses.
- Prepare inventory valuation and usage reports.
- Identify obsolete, damaged, or slow-moving inventory.
- Recommend inventory reduction strategies where appropriate.
- Assist with budgeting and forecasting processes.
Process Improvement
- Develop and implement inventory management KPIs.
- Improve inventory accuracy and operational efficiency.
- Introduce technology and automation solutions where beneficial.
- Identify opportunities to standardize materials and products across properties.
Qualifications/ Education
- Diploma or degree in Supply Chain Management, Business Administration, Operations Management, Logistics, or a related field preferred but not required.
Experience
- 3–5+ years of inventory, warehouse, procurement, or supply chain management experience.
- Experience in property management, construction, building maintenance, or related industries considered an asset.
- Experience managing inventory software and ERP systems.
