OVERVIEW
Leaside Skating Club is seeking a highly organized and detail-oriented Operations Coordinator to own and support the day-to-day execution of club operations. This role is central to delivering a high-quality experience for members through strong coordination, clear communication, and disciplined administrative and financial processes.
This role is responsible for ensuring operational consistency across the club, with a focus on accuracy, timeliness, and follow through.

Category: Fixed-Term Contract (1 year contract, with potential for extension)
Hours: Part-time at approximately 13-15 hours per week, with flexibility based on seasonal demands
Schedule: Flexible schedule
*This role includes a mix of in-person and remote work. Some regular weekly office hours at the club are expected.
KEY RESPONSIBILITIES:
Operations & Member Services
● Maintain the master club calendar and track key deadlines
● Coordinate and distribute communications
● Serve as the primary contact for member inquiries
Registration & Records
● Manage member registration and onboarding
● Maintain accurate records and track status changes
● Administer skater offers and contracts
Communications
● Prepare and distribute newsletters and program updates
● Maintain website content and mailing lists
● Ensure timely and accurate posting of operational information
Compliance & Administration
● Track compliance requirements and deadlines
● Maintain records for screening, waivers, certifications, and insurance
● Ensure organized and up-to-date documentation
Financial Coordination
● Collect and review timesheets, invoices, and expenses
● Support monthly payment cycles and submissions to bookkeeping
● Track revenues, reconcile accounts, and follow up on outstanding balances
Volunteer Coordination
● Maintain volunteer records and screening documentation
● Support onboarding and track assigned roles
QUALITIFICATIONS:
● Strong organizational skills and attention to detail
● Excellent communication and coordination abilities
● Ability to manage multiple priorities and meet deadlines
● Proficiency with spreadsheets and digital tools
● Skating experience is not required. Experience in a non-profit or sports environment is an asset but success in this role is driven by organization, attention to detail, and consistent follow through.
