Opportunity
We are seeking an experienced Information / Records Management / Recordkeeping Specialist to support a federal government initiative at the Shirley's Bay Campus in Ottawa. The successful candidate will provide expertise in information management, records management, SharePoint administration, policy implementation, archival research, and recordkeeping modernization initiatives.
This role requires a highly skilled professional with extensive experience supporting Government of Canada's information and recordkeeping environments, including electronic records management, legacy records management, information governance, and SharePoint platforms.
Mandatory Qualifications
The successful contractor must demonstrate:
Information Management & Recordkeeping Experience
- A minimum of 24 months of experience within the last 4 years analyzing, developing, modifying, and implementing information-keeping systems.
- A minimum of 24 months of experience within the last 4 years providing advice and guidance related to:
- Recordkeeping policies and regulations
- Capacity building initiatives
- Legacy records management
- Electronic records (e-Records)
- A minimum of 24 months of experience within the last 4 years drafting Information Management Administrative Instructions.
SharePoint Administration Experience
A minimum of 24 months of experience within the last 4 years administering site collections and below using:
- SharePoint Classic
- SharePoint Modern
Software Experience
A minimum of 24 months of experience within the last 4 years working with:
- SharePoint On-Premises (2019 and Subscription Edition)
- SharePoint Online
- TreeSize Pro
- ShareGate
Operating Environment Experience
A minimum of 24 months of experience within the last 4 years working in:
- Microsoft Windows 23H2 and higher environments
Desired Skills and Experience
Experience in one or more of the following areas will be considered a strong asset:

Information Management & Governance
- Collecting, creating, receiving, and capturing information
- Organizing, using, and disseminating information
- Maintaining, storing, preserving, and disposing of information
- Information governance and information lifecycle management
- Coordinating organizational information resources and technology investments
- Planning, directing, and controlling information-based resources to support organizational objectives
- Coordinating information storage requirements and interfacing with Information Technology teams
- Document and records management services
- Access to Information Act (ATIA) and Privacy Act coordination
Business Analysis & Research
- Defining and documenting business requirements
- Conducting archival research within federal departments and agencies
- Producing professional research reports based on federal records
- Developing and managing sustained archival research projects
Records Management
- Identifying, classifying, archiving, preserving, and destroying records
- Managing the creation, receipt, maintenance, use, and disposition of records
- Implementing recordkeeping policies, standards, and procedures
- Monitoring and evaluating recordkeeping compliance and effectiveness
- Supporting records sustainability initiatives
Library and Information Services
- Managing library services
- Cataloguing, indexing, and classifying information
- Managing audio-visual and electronic information resources
- Developing and maintaining virtual library services
- Delivering research, reference, and library services
- Searching online systems and web-based information sources
Content and Metadata Management
- Establishing and implementing metadata standards and guidelines
- Evaluating information management standards and practices
- Identifying content management issues and recommending improvements
Responsibilities
The successful contractor may be responsible for:
- Providing expert advice and guidance on federal recordkeeping requirements
- Supporting information management modernization initiatives
- Managing electronic and legacy records repositories
- Administering SharePoint environments
- Developing information management documentation and administrative instructions
- Conducting records analysis, classification, retention, and disposition activities
- Supporting compliance with federal policies, regulations, and legislative requirements
- Performing archival and research activities
- Assisting with information governance and digital transformation initiatives
- Monitoring and evaluating information management and recordkeeping programs
