As the Finance & Accounting Coordinator, you are responsible for the day-to-day financial operations that keep our projects and accounts running smoothly and profitably. Working part-time and in close partnership with the Account and Project teams, you own the core finance functions of the agency – from vendor, invoice, and purchase order management through to bookkeeping, payroll, and reconciliations. You are also the primary liaison with our external accountant, ensuring our records are accurate, our filings are timely, and our financial reporting gives leadership a clear picture of the health of the business.

The Finance & Accounting Coordinator reports directly to the Managing Partner.
Responsibilities
- Owning the accuracy and integrity of the agency’s day-to-day financial records and transactions
- Supporting the Account and Project teams with timely, reliable financial information and billing
- Managing relationships and financial administration with vendors, media partners, and subcontractors
- Serving as the primary liaison with the agency’s external accountants
Accountabilities
- Manage vendors, purchase orders (POs), and insertion orders (IOs) for media, including setup, tracking, and reconciliation
- Reconcile media invoices against POs/IOs and resolve discrepancies with vendors and media partners
- Manage foreign exchange on international transactions, including tracking rates and reconciling gains and losses
- Issue client invoices, quotes, and estimates in a timely and accurate manner
- Manage subcontractor onboarding, agreements, invoicing, and payments
- Review and maintain work-in-progress (WIP), ensuring revenue and costs are accurately reflected
- Maintain complete and accurate bookkeeping in QuickBooks Online (QBO), including accounts payable and receivable
- Manage payroll, including processing, remittances, and record-keeping
- Reconcile and file GST, ensuring compliance with reporting deadlines
- Liaise with external accountant, providing records and documentation for year-end and filings
- Ensure all financial data in QBO and related systems is reconciled, up to date, and audit-ready
Credentials
- Post-secondary education in finance or accounting
- Experience in an agency or professional services environment
- Hands-on experience with QuickBooks Online (QBO)

Pay: $60,000.00 per year
