Position Overview
The Office Administration Assistant supports the Puntledge General Manager to ensure the workplace runs smoothly.
While working in the campground office, the Office Administration Assistant supports customers with their day-to-day needs and performs clerical tasks, including campground bookkeeping, organizing files and day to day administrative necessities.
Key Responsibilities
- Greet and welcome guests at campground office
- Answer incoming calls, redirect, or take messages if necessary
- Follow procedures for the daily operations of the Puntledge Campground, i.e., reservations, site allocation, and customer satisfaction
- Read, sort, forward and reply to all emails
- Sell retail items in the gift shop
- Account for all revenues and expenditures including all stock and inventories in the office
- Run daily cash processes
- Support the General Manager in maintaining the overall operation of the campsite and all associated facilities
- Manage and maintain all reservations on a daily, weekly, monthly, and seasonal basis
- Ensure a quick resolve of customer concern
- Maintain regular and consistent hours of operation for the campground office, store, and facilities
- Ensure all facilities at the campsite are clean and in good working order, including garbage services, washrooms, laundry room and office
- Research, prepare and assemble interpretive materials and handouts
- Responsible for Cash Float and receipts
- Other duties as directed
Customer Service Responsibilities:
- Provide friendly and helpful service to guests, answering questions about the campground and local area attractions.
- Answer phone calls to assist clients with making reservations, changing reservations or any pertinent questions to the business.
- Welcome guests with a smile and assist with the check-in process.
- Assist guests with campground rules and regulations, educate on wildlife attractants, sell firewood and ensure an overall positive guest experience.
Knowledge, Skills, and Abilities
- Must be able to count cash and calculate
- Strong written and oral communication skills
- Critical thinking skills
- Knowledgeable in budgets, finance, and reporting an asset
Education and Experience
- High School diploma or equivalent
- Proven experience in the hospitality, administration
- Combination of education and experience will be considered
- Cash handling experience an asset
- Experience working with Microsoft Office
- Class 5 Driver’s license an asset but not required
- WHMIS Certification, and First Aid Level 1 Certification considered an asset
- K’ómoks First Nation, and Campground knowledge are an asset
Working Conditions
- Working both in an office environment and in outside environment
- Able to stand, crouch, bend, kneel and/or sit for extended periods of time and repetitively
- Able to lift up to 30 pounds and walk on varied terrain
Job Type: Full-time
Pay: $20.00-$25.00 per hour
