Our not-for-profit client is seeking a detail-oriented and organized HR Administrator to join their Human Resources team on a temporary contract basis. Reporting to the HR Manager, the successful candidate will provide administrative support across a broad range of HR functions, including recruitment, onboarding, employee records management, training administration, and HR projects. This role is ideal for an HR professional who thrives in a fast-paced environment and enjoys supporting both employees and organizational initiatives.
- Maintain accurate and confidential digital and physical employee files.

Update and maintain employee information within the HRIS (ADP).

Ensure data integrity, accuracy, and compliance with privacy requirements.

Prepare HR documentation, forms, and correspondence as required.
- Assist with job postings, candidate screening, interview scheduling, and reference checks.

Prepare employment letters and onboarding documentation.

Coordinate and facilitate new hire orientations.

Support onboarding activities and maintain employee records for new hires.
- Administer the organization's Learning Management System (iLearn).

Ensure employees are added to and removed from the LMS in a timely manner.

Schedule training sessions and maintain training records.
- Support the HR Manager with special projects and initiatives.

Assist in the administration of the Canada Summer Jobs Program and student placement programs.

Coordinate employee surveys, meetings, events, and other HR-related activities.

Take meeting minutes and prepare reports as required.
- Monitor and manage the HR inbox, responding to inquiries and directing requests appropriately.

Prepare reimbursement forms, payroll forms for new hires, and other HR-related documentation for review and approval.

Provide general administrative support to the Human Resources department.

Perform additional duties and projects as assigned.
- Post-secondary education in Human Resources, Business Administration, or a related field.

Previous experience in an HR Administrator, HR Assistant, or similar HR support role.

Experience working with HRIS systems; ADP experience is considered a strong asset.

Familiarity with recruitment, onboarding, and employee records administration.

Strong organizational skills with exceptional attention to detail.

Ability to manage confidential information with professionalism and discretion.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).

Ability to work independently while collaborating effectively with team members.
- Successful candidates must provide a clear Vulnerable Sector Screening (VSS) prior to employment.
