Primary Objective of the Position:
The HR Operations & Projects Specialist supports the delivery of efficient and high-quality Human Resources operations across the full employee lifecycle while driving continuous improvement initiatives. This role combines strong HR operational knowledge with analytical thinking, technology proficiency, and project coordination to improve processes, enhance employee experience, and support data-driven decision making.
The successful candidate is a hands-on HR professional who is passionate about process improvement, enjoys working with data, and leverages technology to streamline HR operations and support business objectives.
Job Duties:
- Support the full employee lifecycle, including onboarding, employment changes, promotions, transfers, leaves of absence, and offboarding, while ensuring a high standard of HR service delivery.
- Maintain accurate employee records and ensure data integrity across HR systems, ensuring compliance with employment legislation, company policies, and internal procedures.
- Partner with HR Business Partners, Payroll, managers, and other stakeholders to deliver timely, accurate, and customer-focused HR operational support.
- Respond to employee and manager inquiries regarding HR policies, programs, procedures, and employment-related matters.
- Support continuous improvement initiatives by identifying opportunities to streamline HR processes, enhance operational efficiency, and improve the employee experience.
- Develop, review, maintain, and continuously enhance HR Standard Operating Procedures (SOPs), process documentation, workflows, and operational guidelines to ensure consistency and best practices.
- Support the implementation, testing, optimization, and ongoing enhancement of HR systems, technologies, and digital solutions, including system configuration validation and user acceptance testing (UAT).
- Leverage HR technology and digital platforms, including HRIS, SharePoint, Power BI, Power Automate, Excel, and other analytical tools, to automate processes, improve operational effectiveness, and support HR transformation initiatives.
- Prepare, analyse, and present regular and ad hoc HR reports, dashboards, workforce metrics, and analytics to support data-driven decision-making and business planning.
- Participate in HR transformation initiatives, cross-functional projects, and organizational priorities by providing analytical support, project coordination, and process expertise.
- Build collaborative relationships across the organization to support HR initiatives, drive operational excellence, and promote a culture of continuous improvement and innovation.
- Stay current with emerging HR trends, technologies, analytics, and best practices, recommending innovative solutions that enhance HR operations and organizational effectiveness.
- Perform other related duties and special projects as assigned.
Qualifications:
- Bachelor degree or diploma in Human Resources, Business Administration, or a related field.
- CHRP designation or working toward a professional HR designation is considered an asset.
- Minimum 3–5 years of progressive Human Resources experience, with strong exposure to HR operations and employee lifecycle administration.
- Strong understanding of Canadian employment legislation and HR best practices.
- Experience developing HR policies, procedures, and SOP documentation.
- Advanced Microsoft Excel skills, including PivotTables, XLOOKUP, Power Query, formulas, and data analysis.
- Experience using Business Intelligence and reporting tools such as Power BI or similar platforms.
- Experience working with HRIS systems and Microsoft 365 applications, including SharePoint and Power Automate.
- Strong analytical and problem-solving skills with the ability to interpret data and provide actionable insights.
- Excellent project coordination and organizational skills, with the ability to manage multiple priorities.
- Excellent written communication skills with experience preparing professional documentation, SOPs, and reports.
- Highly detail-oriented with exceptional accuracy and data integrity.
- Strong interpersonal skills with the ability to collaborate effectively across all levels of the organization.
