Position Summary
The Executive Assistant (EA), Executive Directors Office will provide high-level confidential administrative support directly to the Executive Director, Executive Coordinator and Executive Events Coordinator of the Assembly of Manitoba Chiefs.
This role is focused on supporting the Executive Directors Office in carrying out their leadership responsibilities by ensuring they are organized, informed, prepared, and able to effectively manage competing demands in a fast-paced and politically sensitive environment. The Executive Assistant works closely with the Executive Coordinator and Executive Events Coordinator to support the efficient operation of the Executive Director’s Office.
Key Responsibilities
Executive Support & Calendar Management
- Manage and maintain the Executive Director’s calendar, appointments, and meeting schedule.
- Coordinate and confirm meetings, invitations, and meeting logistics on behalf of the Executive Director.
- Prioritize scheduling requests and resolve calendar conflicts while protecting the Executive Director’s time and priorities.
- Prepare daily, weekly, and monthly schedules and briefing materials for the Executive Director.
- Ensure the Executive Director is prepared for meetings, events, and presentations.
Travel & Logistics Coordination
- Arrange all travel for the Executive Director, including flights, accommodations, transportation, and per diems.
- Prepare detailed travel itineraries and ensure all required materials are organized in advance of travel.
- Process travel claims, expense reports, and reimbursements in a timely manner.
- Support the Executive Events Coordinator with events planning, including booking venues, catering, set up
Correspondence & Administrative Support
- Draft, format, proofread, and prepare correspondence, briefing notes, memos, and documents for review and signature.
- Screen incoming calls, emails, mail, and meeting requests, redirecting or responding as appropriate.
- Serve as the primary administrative contact for individuals and organizations seeking to communicate with the Executive Director.
- Maintain accurate and organized filing systems, records, and confidential documents.
Office Coordination & Confidentiality
- Maintain confidentiality when handling sensitive personnel, political, financial, and organizational information.
- Coordinate with AMC departments to obtain information and materials requested by the Executive Director.
- Attend meetings as required to record notes or support follow-up actions.
- Resolve routine administrative matters within the Executive Director’s Office.
- Work collaboratively with the Executive Coordinator and Executive Events Coordinator to support the overall operations of the Executive Director’s Office.
- Perform other related duties as assigned.
Qualifications, Education & Experience
- Certificate or Diploma from a recognized college, university, or technical institute. An equivalent combination of education and experience may be considered.
- Minimum five (5) years of experience in a senior administrative support role.
- Experience supporting senior leadership in a fast-paced environment.
- Knowledge of First Nations culture, history, communities, and issues.
- Excellent organizational, time-management, and multitasking skills.
- Strong written communication, proofreading, and editing abilities.
- Ability to exercise sound judgment, discretion, and confidentiality.
- Ability to work independently and collaboratively within a professional team environment.
- Strong interpersonal and relationship-building skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office systems.
- Ability to work effectively under pressure and meet deadlines.
- Commitment to adhering to AMC policies, procedures, and professional ethics.
Additional Requirements
- Ability to work flexible hours, including evenings and weekends, as required.
- Ability to travel as needed.
- Valid Class 5 driver’s license and reliable transportation.
- Satisfactory Criminal Record Check with Vulnerable Sector Search upon hire.
