Job Summary
We are seeking a proactive and organized Office Admin Assistant to join our team at a leading stone countertop and cabinetry manufacturing and dealership company. In this vital role, you will be the first point of contact for clients, vendors, and visitors, ensuring smooth daily operations. Your energetic approach will help maintain an efficient office environment, support administrative functions, and provide exceptional customer service. Duties
- Greet clients, visitors, and vendors with professionalism and enthusiasm at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
- Perform data entry tasks accurately in QuickBooks and other software platforms to support bookkeeping and invoicing processes
- Organize files, maintain records, and ensure proper filing systems are in place for easy retrieval of documents
- Assist with scheduling appointments, coordinating deliveries, and managing calendars for team members
- Support customer service efforts by responding promptly to client questions and providing product information.
- Familarity with sales processes and customer service practices.
Experience
- Proven office experience in a fast-paced environment with strong organizational skills
- Familiarity with QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook) is essential
- Demonstrated ability in data entry, filing, and managing multi-line phone systems effectively
- Excellent customer service skills with professional phone etiquette and interpersonal communication abilities
- Previous clerical or administrative experience in a manufacturing or dealer setting is preferred
- Experience with Google Workspace tools (Gmail, Drive) is advantageous
- Knowledge of medical or dental office procedures such as appointment scheduling or patient record management is a plus but not required
