Overview
We are seeking a professional, organized, and detail-oriented Front Desk Receptionist / Legal Assistant to join our team. This dual-role position is the heartbeat of our office—you will be the first point of contact for our clients and provide essential administrative support to our legal team.
The ideal candidate thrives in a fast-paced environment, possesses excellent communication skills, and maintains a high level of discretion and professionalism.
Duties
Front Desk & Client Relations:
- First Impressions: Greet clients and visitors with warmth and professionalism.
- Communication: Manage a multi-line phone system, routing calls and taking accurate messages.
- Scheduling: Coordinate consultations, court dates, and internal meetings using a digital calendar.
- Mail Handling: Process incoming and outgoing mail, deliveries, and legal couriers.
Legal & Administrative Support:
- Document Preparation: Assist in drafting basic legal documents, correspondence, and memos.
- File Management: Maintain organized physical and electronic filing systems (e.g., Leap).
- Billing Support: Help track billable hours and process client invoices (PC Law)
- Court Filings: Assist with the electronic filing (e-filing) of documents and gathering exhibits.
- Client Intake - initial client intake calls and preparation of retainer agreements, authorizations and insurance forms
Requirements
- Proven experience in a legal setting or related field
- Proficiency in administrative tasks including data entry, filing, and clerical duties
- Familiarity with PC Law, Leap and Caselines
- Strong written and verbal communication skills for drafting legal documents and client communication
- Ability to maintain confidentiality and handle sensitive information appropriately
- Excellent organizational skills to manage multiple tasks efficiently
- Detail-oriented with a keen eye for accuracy in all work conducted
