Position Overview
We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of our packaging company in Woodbridge. The successful candidate will be responsible for managing administrative functions, coordinating office activities, supporting customer service, and assisting various departments to ensure smooth and efficient business operations.
Key Responsibilities Administrative Support
- Manage daily office operations, including filing, data entry, document preparation, and record keeping.
- Answer and direct incoming phone calls, emails, and visitor inquiries professionally.
- Maintain office supplies inventory and coordinate orders as required.
- Schedule meetings, appointments, and conference calls.
Customer Service & Order Support
- Process customer orders and maintain accurate records in company systems.
- Communicate with customers regarding order status, delivery schedules, and general inquiries.
- Prepare quotations, invoices, purchase orders, and shipping documentation.
- Coordinate with production and warehouse teams to ensure timely order fulfillment.
Logistics & Coordination
- Coordinate shipments and deliveries with carriers and customers.
- Maintain inventory records and support inventory management activities.
- Assist with scheduling and tracking incoming and outgoing shipments.
- Ensure all documentation complies with company policies and procedures.
Qualifications
- Diploma or certificate in Business Administration, Office Administration, or a related field preferred.
- Minimum 2 years of office administration experience, preferably in manufacturing, packaging, logistics, or distribution environments.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with ERP systems and inventory management software is an asset.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
