Academic and Career Services offers a comprehensive range of services to support UWinnipeg students through appointments, drop-ins, workshops, peer mentoring, outreach, educational materials, and digital platforms.
The Coordinator of Academic and Career Services is a full-time term role that leads a team of advisors in providing academic, career, adult learner, and student success services and programming. They oversee the central advising unit and offer guidance, training, and mentorship to advisors across campus. This role coordinates advising initiatives that support academic success, career development, and retention for a diverse student body.
Responsibilities:
- Leads a team of Advisors and ensures services rooted in best practices are offered to a diverse student body.
- Manages undergraduate Academic Advising operations and programming.
- Provides direction to Student Success Advisors engaged in the development and delivery of retention programming.
- Supervises Career Advising services and programs for students and alumni.
- Manages the Adult Learner and Recognition of Prior Learning Advisor who provides specialized support to students aged 21+.
- Maintains expertise in academic procedures, providing guidance to staff, faculty and students. Reviews and edits procedures/guidelines and recommends policy improvements to key stakeholders.
- Ensures departmental goals are met through planning, program evaluation, operational improvements, and the development of new services and initiatives based on research and student needs.
- Coordinates and supervises the work of 11 full-time staff members including hiring, training, coaching, performance reviews, managing complex scheduling activities, and fostering a collaborative, growth-oriented work environment.
- Contributes to budget planning through reporting, recommending allocations, developing financial plans and proposals, and authorizing expenditures.
- Establishes a robust data collection process to assess program effectiveness, track trends, guide the development of new services, and write reports and proposals; requests and guides the design of tailored reports to assist in data collection and student assessments.
- Trains staff on technical systems to ensure effective use and integration into advising and student success initiatives.
- Leads and organizes training, knowledge sharing and professional development opportunities for advisors across campus.
- Collaborates with other Student Services units, faculty and university leadership to ensure cohesive service delivery and positive working relationships.
- Supports the work of the Executive Director of Student Support Services and may be called upon to take on additional responsibilities in their absence.
- Engages in the Student Services Coordinator group to stay informed and contribute to the design of events and professional development opportunities.
- Represents the university internally and externally. Promotes the department’s services.
- Leads the design and implementation of marketing and communication strategies, in collaboration with other stakeholders.
- Engages in ongoing research and professional development.
- Oversees the development and delivery of educational programs; provides leadership for teams designing and planning major events.
- Provides leadership, guidance, and mentorship to Advisors across campus on complex or unique student situations; ensuring appropriate support is given.
- Advises students requiring additional support or with special needs, beyond the scope of other advising team members.
- Designs assessment tools/resources to guide advisors work and enhance advising practices.
- Provides academic and career advising to undergraduate students, individually and in groups, using a developmental advising model.
- Assists students with academic and career planning through appointments, drop-ins, phone, email, video conferencing.
- Provides students with accurate information on course, major, degree and graduation requirements; supports students in planning and decision making.
- Advises students from various backgrounds, demonstrating cultural sensitivity and awareness of individual circumstances.
- Provides guidance to students regarding academic status; monitors academic progress and offers strategies for academic success.
- Interprets, implements and helps students navigate a broad range of university policies, procedures, and regulations.
- Evaluates registration needs and assists students with registration tools.
- Advises on course/major selection, scheduling, adding/dropping courses, and changing majors/minors.
- Assesses students’ circumstances and takes independent discretionary action, in accordance with university policies and procedures.
- Offers first-level counselling to address student concerns, conflicts, and barriers, providing advocacy and referrals to internal resources and external supports.
- Collaborates with team members and other campus departments to provide comprehensive support and referrals.
- Provides career advising, assessment and mentorship to students and alumni focusing on career exploration, planning, decision-making, and opportunities for continued education.

- Provides feedback to students/alumni on graduate school statements of intent, research proposals, scholarship applications and CACEE forms.
- Researches, creates, and facilitates academic and career related workshops and presentations.
- Reviews, edits and provides consultation on guidelines, procedures and materials for the Senate Appeals Committee.
- Maintains in-depth knowledge of Senate Appeals Committee guidelines and procedures, providing guidance in the decision-making process.
- Contributes to the development of policies and procedures for the Graduate Studies Senate Appeals Committee and participates in appeal assessments.
- Provides guidance to students on formal appeals processes related to Senate regulations, University policies, and coursework challenges.
- Assists students with documentation and evidence preparation for appeals, providing feedback and requesting additional information.
- Prepares, and presents student appeals utilizing strong assessment strategies and contributing to discussions and decisions.
- Works closely with faculty and departmental staff to facilitate the appeals process and supports effective communication between all contributors.
- Acts as a member of the Financial Appeal Committee, guiding Advisors who chair the committee, recommending procedures, and collaborating with members from various departments to make decisions.
Qualifications:
- Undergraduate degree required, graduate degree preferred.
- 4 years of directly related experience as an administrator or manager, preferably in a post-secondary educational setting.
- 3 years of previous supervisory experience
- Strong leadership and team management skills with the ability to train and motivate others.
- Experience designing and delivering programs and initiatives.
- Capacity to interpret/implement policies and review/adapt procedures.
- Can represent the university professionally and work collaboratively with internal and external stakeholders.
- Knowledge of degree programs, graduation requirements, and university regulations and policies.
- Strong initiative with the ability to evaluate programs/services, write reports and collect data related to departmental functions.
- Experience providing services to students or clients with the ability to supports students from diverse backgrounds.
- Ability to assess student interests, aptitudes and goals with demonstrated sensitivity to individual needs and barriers.
- Understanding of labour market, career development, and employment advising tools/strategies.
- Excellent oral and written communication skills with the ability to design and facilitate presentations/workshops/learning opportunities.
- Strong problem-solving skills with the ability to make independent and consistent judgements and assess complex situations.
- Well-organized, detailed, and thorough.
- Able to have some flexibility in working schedule.
- Familiar with a variety of internal and external resources, able to make referrals as appropriate.
- Knowledge of trends in higher education, advising, career development, retention and student success with the ability to conduct research in these areas

Condition(s) of Employment:
- Must be legally entitled to work in Canada.
The salary range for this position will be from $61,916.40 to $87,997.00 annually.
Note: The work described in this posting will be conducted in-person, with an opportunity to apply for Remote Work for up to one (1) day per week after the training period.
