Job Overview
We are seeking a motivated and detail-oriented Summer Student to join our team as an Administrative Assistant/Receptionist. This role offers an excellent opportunity for a student interested in gaining hands-on experience in office administration, customer service, and clerical support within a professional environment. The ideal candidate will be organized, tech-savvy, and possess strong communication skills to effectively support daily operations at the front desk and assist with various administrative tasks.
Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer multi-line phone systems, direct calls, and provide exceptional customer service
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
- Manage filing systems, both electronic and paper-based, ensuring documents are organized and easily accessible
- Monitor accounting and operational inboxes; action, organize, and file items appropriately once complete, ensuring records are accurate, current, and easy to retrieve.
- Update operational records and tracking documentation as required, maintaining accuracy and consistency across spreadsheets, logs, and internal systems.
- Coordinate office mail, deliveries, and general office administration, including the ordering, stocking, and organization of shared office and lunchroom supplies.
- Support office coordination and provide administrative assistance to management and operational staff, contributing to the smooth day-to-day functioning of the office.
- Provide administrative support to senior accountants and the management team, including scheduling meetings, preparing materials, and handling correspondence.
- Assist other Degagne Pro Group companies — Degagne Carpentry, Degagne Renovations, Profound, and Probuild — with administrative support as operationally required.
- Support Office Operations as needed, taking on additional administrative duties and special projects as assigned by the Administrative Coordinator or Project Manager.
Qualifications
- Previous office experience or clerical experience is preferred but not required; training will be provided
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail
- Effective phone etiquette and customer service skills for front desk interactions
- Ability to perform data entry accurately and efficiently
- Experience with multi-line phone systems is a plus
- Strong typing skills along with proofreading abilities
- Previous office experience is a plus but not mandatory; willingness to learn is essential
This position provides valuable exposure to administrative functions within a professional setting while supporting your educational growth.
Pay: $18.00-$20.00 per hour
