Job Overview
We are seeking an experienced, detail-oriented, and highly organized Bookkeeper/Conveyancer to join our team. This position combines conveyancing, trust accounting, bookkeeping, and administrative responsibilities. The successful candidate will be responsible for managing property transactions from contract to closing while maintaining accurate financial records, processing trust and general accounting transactions, reconciling accounts, and supporting the day-to-day financial and administrative operations of the business. Previous experience in bookkeeping is required.
Duties
- Prepare, review, and process legal documents relating to residential and commercial property transactions.
- Manage conveyancing files from contract to closing, ensuring deadlines are met.
- Liaise with clients, real estate agents, lenders, lawyers, and other stakeholders throughout the conveyancing process.
- Coordinate closings and ensure all documentation and funds are processed accurately and on time.
- Assist with the administration of managed properties, including lease documentation, renewals, notices, and tenant communications.
- Coordinate maintenance requests and communicate with contractors, owners, and tenants.
- Support rent collection, arrears management, and tenant file maintenance.
- Manage accounts payable and accounts receivable.
- Perform bank reconciliations and trust account reconciliations.
- Process invoices, payments, deposits, and receipts accurately.
- Maintain accurate records of transactions, communications, and financial information.
- Provide general administrative support to the office as required.
Qualifications
- Minimum 3 years of bookkeeping experience.
- Experience with QuickBooks accounting software is required
- Proficiency in Microsoft Office Suite
- Previous property management experience and knowledge of Buildium is an asset
- Understanding of conveyancing procedures and real estate transactions is an asset.
- Knowledge of trust accounting principles and reconciliations.
- Experience with accounts payable, accounts receivable, bank reconciliations, and payroll processing.
- Experience with conveyancing software such as Lone Wolf is considered an asset.
- Knowledge of property management legislation, compliance, and documentation.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
