Role Overview
We are seeking a dedicated and high-integrity Case Coordinator to manage the administrative workflow for clients applying for Citizenship by Descent. Our focus is Croatian citizenship programs. This is a key operational role, responsible for moving client files from initial document submission through to final approval in a structured and efficient manner.
You will not be responsible for providing legal advice. Instead, you will support clients using our technology-driven platform that streamlines the application process and connects them with a network of Croatian lawyers and certified translators when needed.
Compensation
Salary: ~ $75,000 per year (~ $36 / hour)
Additional: Performance-based bonuses
Language Skills
- English: Full professional fluency required (all client communication is conducted in English).
- Croatian: Some conversational ability is strongly preferred for coordination with external offices.
Key Responsibilities
- Client Communication: Act as the primary point of contact via email, providing clear, organized, and timely instructions to clients throughout the process.
- Document & File Management: Review and organize client documents through our portal, ensuring all submissions meet required formatting and completeness standards.
- Third-Party Coordination: Communicate with government offices, registries, and embassies to request information, follow up on records, and track application progress.
- Workflow Management: Monitor file progress and manage the overall pipeline to ensure applications continue moving forward without delays.
Candidate Requirements
- Radical Honesty & Integrity We operate on a foundation of trust. You will be handling sensitive personal information and managing critical legal timelines. We require someone who possesses uncompromising integrity—meaning you are transparent about progress, honest about mistakes (so they can be fixed quickly), and maintain a high level of discretion and confidentiality at all times.
- Ownership & Accountability You take responsibility for the files assigned to you. We believe in ownership: if a file is in your hands, you are responsible for its progress and success. Accountability means being proactive—identifying potential issues before they become problems and finding solutions independently. You are self-motivated and organized, thriving in an environment where you are trusted to manage your own work.
- Attention to Detail You must take a precise and methodical approach to reviewing documents and managing files, ensuring 98%+ accuracy at every step to avoid costly delays for clients.
- Digital Fluency & Process Mindset: Be comfortable working extensively with digital systems, including portals, document management, and high-volume email communication. We rely heavily on system automation and continuously refine our internal processes. We value team members who notice repetitive tasks and proactively suggest ways to automate or improve them—we aim to make your work as efficient and streamlined as possible.
Growth Opportunity
This role offers opportunities for growth as we expand into new citizenship programs and continue to build our internal systems. High-performing team members will have the opportunity to take on increased responsibility, earn more, contribute to process improvements, and grow alongside the company.
Compensation & Fairness
We offer above-average compensation as an investment in top-tier talent. We believe strong performance, reliability, and professionalism should be rewarded.
We are also committed to long-term fairness. As market conditions evolve and you get better at your work, we proactively adjust compensation to remain competitive and ensure our team is properly valued.
