About Future Line Plastics
Future Line Plastics is a plastics manufacturing company specializing in plastic extrusion and related manufacturing operations.
We are seeking a dependable and experienced IT Systems & Cybersecurity Administrator to take responsibility for our internal IT systems, cybersecurity, user access, network infrastructure, data protection, system documentation, and day-to-day technical support.
This is a hands-on role suited for someone who can assess an existing IT environment, identify vulnerabilities, establish stronger controls, and ensure company systems and information remain secure, organized, backed up, and accessible only to authorized personnel.
Key ResponsibilitiesCybersecurity & System Protection
- Assess the company's existing IT environment and identify security vulnerabilities, outdated systems, weak access controls, and other technology risks.
- Implement and maintain appropriate cybersecurity controls across company computers, servers, accounts, applications, and networks.
- Monitor systems for suspicious activity, unauthorized access, malware, phishing attempts, compromised accounts, and other cybersecurity threats.
- Maintain antivirus, endpoint detection and protection, firewall configurations, security patches, and operating system updates.
- Implement and enforce multi-factor authentication across appropriate company systems.
- Establish and maintain secure password and authentication policies.
- Investigate suspected security incidents and maintain documentation of incidents, findings, and corrective actions.
- Assist management in developing an incident-response process for cybersecurity events.
- Regularly review company systems for unnecessary or unauthorized user access.
User Access & Account Management
- Create, modify, suspend, and deactivate employee accounts.
- Ensure employees receive access only to the systems, files, applications, and information required for their roles.
- Maintain role-based permissions for company systems and shared files.
- Immediately remove system access for terminated or departing employees.
- Review user permissions regularly with management.
- Maintain records showing which employees have access to critical company systems.
- Secure administrator accounts and restrict elevated system permissions.
- Prevent the unnecessary sharing of usernames, passwords, and administrator credentials.
Microsoft 365 & Email Administration
- Administer Microsoft 365, Outlook, company email accounts, shared mailboxes, Teams, OneDrive, SharePoint, and related services where applicable.
- Create and disable employee email accounts.
- Manage email security, spam protection, phishing protection, forwarding rules, and account permissions.
- Investigate suspicious email activity and compromised accounts.
- Ensure company information remains under company-controlled accounts rather than personal employee accounts.
QuickBooks & Financial-System Security
- Assist management in securing and maintaining QuickBooks and other financial or business software.
- Review QuickBooks user accounts and access permissions.
- Ensure accounting-system access is restricted according to employee responsibilities.
- Maintain secure backups of accounting information.
- Assist with investigating suspicious login activity, access issues, or unauthorized changes.
- Work with management, accounting personnel, QuickBooks support, and external specialists where required.
- Maintain appropriate separation between IT administrative access and financial transaction authorization.
Backup & Disaster Recovery
- Establish and maintain secure backups of critical company information.
- Ensure backups are protected from unauthorized access and ransomware.
- Regularly test backups to confirm that company information can actually be restored.
- Maintain backup schedules and records.
- Develop and document recovery procedures for critical systems.
- Help management establish a disaster-recovery and business-continuity plan.
Network & Infrastructure
- Manage and troubleshoot company networks, internet connections, Wi-Fi, routers, switches, firewalls, VPNs, and related equipment.
- Secure wireless networks and eliminate unnecessary or insecure network access.
- Maintain appropriate separation between business systems, guest networks, and other connected devices where required.
- Monitor network performance and troubleshoot outages.
- Maintain documentation of the company's network configuration.
- Coordinate with internet, telecommunications, and technology service providers.
Computer & Device Management
- Set up and configure computers, laptops, mobile devices, printers, scanners, and other company technology.
- Maintain an inventory of all company-owned IT equipment.
- Record device assignments, serial numbers, users, warranty information, and replacement dates.
- Install approved software and remove unauthorized or unnecessary applications.
- Ensure company devices receive security updates.
- Securely prepare devices before reassignment to another employee.
- Securely erase company information before equipment is disposed of or removed from service.
Employee Onboarding & Offboarding
- Set up IT access for new employees according to approved management requests.
- Configure computers, email, software, printers, shared folders, and other required systems.
- Maintain an IT onboarding checklist.
- Coordinate with management when an employee leaves the company.
- Immediately terminate access to email, company files, QuickBooks, remote-access systems, VPNs, and other company resources where applicable.
- Recover company devices and preserve required company information before accounts are closed.
- Maintain an IT offboarding record.
IT Documentation & Internal Controls
- Develop and maintain accurate documentation of the company's IT environment.
- Maintain records of systems, devices, software licences, user accounts, vendors, backups, networks, and security controls.
- Document procedures for common IT tasks and emergency situations.
- Maintain a secure record of administrative credentials and recovery information accessible only to authorized management.
- Establish procedures to ensure no single employee has uncontrolled access to critical systems.
- Ensure important company IT accounts are registered under company-controlled contact information.
- Maintain change logs for significant system and security modifications.
Technical Support
- Provide day-to-day technical support to office and manufacturing employees.
- Diagnose and resolve computer, printer, network, software, email, and connectivity problems.
- Assist employees with Microsoft 365 and company applications.
- Prioritize IT issues based on business impact and security risk.
- Communicate technical issues clearly to employees and management.
- Escalate specialized issues to external providers when necessary.
Security Cameras, Phones & Related Systems
Where applicable:
- Assist with administration of company security-camera systems.
- Manage appropriate user access to camera systems and recorded footage.
- Assist with company phone systems and telecommunications.
- Support electronic door-access or access-control systems.
- Ensure default passwords and unnecessary remote-access features are removed from connected devices.
Qualifications
- Diploma or degree in Information Technology, Computer Systems, Cybersecurity, Computer Science, Network Administration, or a related field preferred.
- Previous experience in IT support, systems administration, network administration, cybersecurity, or a similar role.
- Strong knowledge of Windows-based business environments.
- Experience administering Microsoft 365 is strongly preferred.
- Experience managing users, groups, permissions, shared drives, and cloud storage.
- Understanding of Active Directory and/or Microsoft Entra ID is an asset.
- Strong understanding of cybersecurity principles and access controls.
- Knowledge of firewalls, routers, switches, Wi-Fi, VPNs, and networking.
- Experience with endpoint security, antivirus solutions, backups, and disaster recovery.
- Experience supporting QuickBooks is considered a strong asset.
- Experience within a manufacturing environment is considered an asset.
- Strong troubleshooting and analytical skills.
- Strong documentation and organizational skills.
- Ability to work independently while communicating regularly with management.
- High level of professionalism, discretion, confidentiality, and integrity.
