BDP Quadrangle is seeking a Receptionist to join the firm. The position requires excellent oral and written communication skills, a sharp attention to detail, the ability to juggle multiple tasks, a willingness to assist in a wide variety of tasks and learn new office technologies. Please note that this position requires you to be in office 5 days a week.
Roles and Responsibilities:
· Utilize Microsoft Teams technology to answer incoming calls and direct them to the appropriate individuals as needed;
· Greet guests, take coats, offer beverages, and escort them to the appropriate meeting room;
· Maintain awareness of Studio member presence and daily activity to support visitor inquiries, internal coordination, and safety requirements;
· Arrange outgoing courier shipments, track received packages, and notify colleagues when items are available for pick-up;
· Work closely with the Administrative Team to coordinate meeting room requirements, including set-up and clean-up, and communicate regular and ad hoc vendor site visits;
· Ensure the reception area and kitchenette remain stocked, organized, and presentable;
· Assist the Administrative Team with formatting, reviewing, and distributing documents, and maintaining the project contact database;
· Perform other ad hoc duties as required.
Key competencies, skills and professional requirements:
· Minimum of two years of experience in a client-facing environment;
· Excellent interpersonal and client service skills, with the ability to interact professionally and respectfully with colleagues, clients, and visitors;
· Strong verbal and written communication skills, including active listening;
· Proficiency in Microsoft Word, Teams, and Excel. Experience with Microsoft Outlook calendar management is considered a strong asset;
· Prior experience reviewing, proofreading, and formatting office documents is considered a strong asset;
· Strong organization skills, with the ability to manage multiple priorities and competing deadlines.
