Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to support daily operations within our office. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role is vital in ensuring smooth workflow, maintaining accurate records, and providing exceptional customer service. The Office Administrator will serve as the first point of contact for clients and staff, managing administrative tasks efficiently and professionally.
Duties
- Handle daily office administration to ensure smooth operations.
- Answer phone calls, respond to emails, and greet customers or visitors.
- Welcome customers who visit the office or showroom.
- Assist and guide customers in product selection when they visit.
- Prepare and organize documents, contracts, quotations, invoices, and purchase orders.
- Assist the sales team with order follow-up, delivery arrangements, and status updates.
- Maintain customer records, supplier records, and inventory-related information.
- Manage office supplies, samples, shipping documents, and filing systems.
- Assist with meeting schedules, training arrangements, staff calendars, and internal communication.
- Coordinate with warehouse, sales, finance, and logistics teams.
- Keep track of updates on the online platform and maintain accurate online records.
- Have basic knowledge of countertop design and be willing to learn more about the product and process.
- Be able to learn and adapt to new software quickly.
- Handle urgent tasks and provide general administrative support to management.
- Ensure all records are accurate, updated, and kept confidential.
Qualifications
- Proven experience in office administration or clerical roles; dental or medical office experience is a plus
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry skills
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills with professional phone etiquette and customer service experience
- Ability to handle filing systems accurately and maintain confidentiality of sensitive information
- Experience with multi-line phone systems and front desk operations preferred
- Demonstrated attention to detail in proofreading documents and managing schedules
- Prior administrative experience in a healthcare setting (medical or dental office) is desirable but not required
- Strong computer skills including typing proficiency and familiarity with bookkeeping software is advantageous
Pay: $38,000.00-$55,000.00 per year
