Administrative Assistant Position
We are looking to add a responsible Part-Time Administrative Assistant to our team who can perform a variety of administrative tasks for 1 day per week. Duties of the Administrative Assistant position include providing support to our managers and employees while managing our company’s general administrative activities.
Westar Drilling Ltd. has been serving Albertans since 1988 drilling and servicing domestic water well systems for the rural residential sector. In 2005, we expanded our services into the industrial and commercial sectors. Currently still being a small business with less than 10 employees, we are looking for a competent individual to join our team in a part-time Administrative Assistant position. Job Summary
The Administrative Assistant responsibilities are to manage the day-to-day office operations to ensure a smooth and timely service is provided to our customers, vendors and employees. The ideal candidate should have excellent oral and written communication skills, have the ability to utilize QuickBooks and be able to organize and perform their work using programs and tools, like MS Outlook, MS Word, MS Excel and standard office equipment.
Ultimately, a successful Administrative Assistant will ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
Operations
- Greet visitors and provide general support (customers, suppliers).
- Answer and direct phone calls.
- Filter, respond and/or direct emails.
- Prepare and communicate work orders.
- Prepare and distribute emails, letters and forms.
- Prepare estimates for clients.
- Prepare water well reports for Alberta Environment and clients.
- Scan and file equipment maintenance documentation.
Accounting
- Prepare and post invoices and expenses to QuickBooks.
- Input and process payments.
- Administer employee payroll.
- Input and reconcile expense reports.
Safety
- Maintain safety prequalifier sites (ISNetworld & Avetta).
- Update and maintain office and safety policies and procedures.
- Coordinate with contracting customers on job specific safety requirements.
- Scan and file safety documentation.
- Prepare safety meeting minutes.
General
- Maintain filing system.
- Coordinates mail and couriers.
- Order office supplies and jobsite supplies, as required.
- Book travel arrangements/accommodations.
- May perform other related duties supporting our managers and employees.
- Light office cleaning duties.
Requirements
- Previous experience as an administrative assistant.
- Working knowledge of office equipment, like computers and printers.
- Proficiency in MS Office (MS Word and Excel).
- Experience with QuickBooks is an asset.
- Strong organizational skills with the ability to work independently, manage multiple tasks and set priorities.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
Working Conditions
- 1 day/week (8:00am - 4:00pm)
- Vacation and Illness Coverage
Pay: $20.00-$24.00 per hour
Experience:
- Administrative experience: 1 year (preferred)
