The Role
We are seeking an energetic and organized Junior Administrative Assistant, who will be the first point of contact for our clients and will work closely with our lawyers and senior administration staff.
Key Responsibilities
- Client Reception: Professionally greet clients, answer a multi-line phone system, direct calls to the appropriate team member, and take detailed messages from clients and other third parties.
- Document Management: Scan, file and organize physical and digital legal documents, ensuring strict confidentiality.
- Mail & Couriers: Sort incoming mail and prepare outgoing packages and legal correspondence.
- Office Support: Maintain tidy boardrooms, monitor office inventory, and stock supplies.
- Data Entry: Accurately update client files and case timelines in our database.
- Opening and Closing Client Files in compliance with firm policies and procedures, and ensuring that all required documentation is complete and properly recorded.
- Communicate with Clients and Third-Parties: Build and maintain positive relationships with our clients, appeal bodies, medical offices, and other third parties.
- Preparing letters and emails: Assisting with the preparation of written communications, ensuring accuracy, clarity, and proper formatting.
- Other duties as assigned by senior staff.
Qualifications
- 1+ years of administrative experience (law firm or fast-paced retail or hospitality experience is a strong asset; however, we are willing to train the right candidate).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- High attention to detail and the ability to work independently and as part of a team.
- Excellent written and verbal communication skills.
