Job Summary
We are an established law firm with a 17-year history in Calgary. We are seeking a highly organized and detail-oriented Litigation Assistant with experience to support our legal team in managing files from intake through resolution. The ideal candidate will possess strong research, drafting, and project management skills, along with extensive administrative experience. The Litigation Assistant will play a vital role in maintaining case files, coordinating communications, and supporting lawyers throughout the litigation process.
Duties
- Draft and review documents, including correspondence, ensuring accuracy and adherence to legal standards
- Execute electronic court filings and manage litigation deadline tracking
- Organize active litigation records, compile materials, and prepare litigation binders
- Manage and organize files using document management systems for easy retrieval and updating
- Perform data entry tasks related to case information, court deadlines, and discovery documents with high accuracy
- Coordinate appointments with witnesses or clients as needed, preparing summaries and documentation for review
- Proofread legal documents for grammatical accuracy, consistency, and proper formatting before submission
- Maintain organized filing systems both electronically and physically, ensuring compliance with confidentiality protocols
- Support project management efforts by tracking case deadlines, court dates, and follow-up actions to ensure timely completion of tasks
- Handle administrative duties such as answering phones with professional phone etiquette, scheduling meetings, and managing correspondence
- Assist with litigation processes by organizing documents, preparing disclosures, and supporting document review sessions
Qualifications
- 3+ years working within an Alberta litigation practice area
- Proven experience in a clerical or administrative role within a legal setting; prior experience as a Litigation Assistant
- Strong organizational skills with the ability to manage multiple matters simultaneously while maintaining attention to detail
- Excellent writing skills for drafting documents and correspondence clearly and professionally
- Proficiency with legal billing and database tracking platforms (such as Clio or PCLaw)
- Demonstrated project management ability to coordinate matters efficiently
- Experience communicating with clients, witnesses, and third parties to gather relevant information for litigation purposes
- Skilled in proofreading legal documents for accuracy and consistency
- Knowledge of data entry procedures and filing systems relevant to law firms
- Effective communication skills coupled with professional phone etiquette
- Administrative experience that includes handling confidential information with discretion
