Conair is seeking a permanent full-time Flight Operations Scheduler and Coordinator. The Flight Operations Scheduler and Coordinator is primarily responsible for developing, maintaining, and coordinating operational and training crew schedules that support Conair's aerial firefighting operations. This position will report to the Flight Operations Logistics Manager.
The role supports the development and improvement of Flight Operations scheduling systems, workflows, and administrative processes to enhance operational efficiency, resource utilization, and coordination.
Major Duties and Responsibilities:
Training & Scheduling Coordination
- Develop, maintain, and administer pilot training and operational crew schedules for approximately 120 pilots supporting a fleet of 60 aircraft across multiple operating locations.
- Coordinate simulator bookings, instructor availability, aircraft resources, training events, travel arrangements, accommodations, and associated logistics.
- Monitor schedule compliance, resource availability, operational readiness and spare coverage to support operational continuity requirements established by Flight Operations and Fleet Managers.
- Respond to operational disruptions, including absences, delays, emergency deployments, and short-notice schedule changes.
Regulatory Compliance
- Ensure schedules comply with applicable aviation regulations, collective agreement provisions, company policies, and crew duty and rest requirements.
Communication & Collaboration
- Collaborate closely with Fleet Managers, Flight Operations, Payroll, and other departments to support effective workforce planning and resource utilization.
- Communicate schedule updates, operational changes, and training requirements clearly and professionally to crew members and internal stakeholders.
Reporting & Process Improvement
- Generate scheduling, training, and operational reports as required.
- Identify and implement opportunities to improve scheduling processes, workflows, communication, and administrative systems.
- Assist in the continued development, standardization, and documentation of Flight Operations scheduling procedures and best practices.
- Assist with crew payroll validation, reporting, reconciliation, and related administrative processes to support accurate and timely payroll administration.
Required Knowledge, Skills, and Abilities
- Strong organizational and time management skills with the ability to manage multiple competing priorities.
- High attention to detail and accuracy in schedule administration.
- Strong interpersonal and communication skills with the ability to coordinate effectively across multiple departments.
- Proficiency with scheduling software, Microsoft Office applications, and operational tracking systems.
- Ability to work independently while contributing collaboratively within a team environment.
- Must be highly flexible, with the ability to respond quickly in a dynamic and high pressure environment.
- Flexible hours and willing to work evenings and weekends when required.
Required Education and Experience
- Minimum two years of experience in aviation, airline operations, crew scheduling, dispatch, logistics, workforce planning, or a similarly complex operational environment.
- Previous experience in crew scheduling, operational planning, and or workforce coordination
- Knowledge of aviation regulations related to crew duty and rest requirements is considered an asset.
- Experience using AI tools to design, develop, and optimize operational processes, including creating new workflows and improving existing procedures.
