Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! Are you a personable, friendly individual looking to work in a professional setting? Duties
- Manage front desk operations, including greeting visitors, handling multi-line phone systems, and directing calls with professional phone etiquette
- Maintain accurate records through data entry, filing, and document proofreading Applicants with dental software experience as well as experience in above outlined programs will be given priority.
- Oversee calendar management and schedule appointments for team members and clients, ensuring efficient time management
- Support bookkeeping tasks using Sage software to assist with invoicing, billing, and A/R, A/P tracking.
- Coordinate office supplies inventory, order necessary materials, run daily tasks as required
- Provide excellent customer service by addressing client inquiries promptly and professionally via phone or email
- Assist with clerical tasks such as word processing, creating spreadsheets, and preparing reports to support office operations
- Process payments, submit electronic insurance claims, follow up with insurance agents when required
- General house keeping tasks daily to maintain a clean office and work area
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Proficiency in dental software an assest.
- Familiarity with Sage bookkeeping software is highly desirable
- Excellent communication skills in English a must
- Strong computer literacy including data entry, file management, and technical proficiency with productivity software
- Experience handling multi-line phone systems and providing customer support in a professional setting
- Professional appearance and attire
- Ability to prioritize tasks effectively while managing multiple responsibilities in a fast-paced environment
- Previous experience as a receptionist, medical or dental front desk staff, or personal assistant is advantageous
