Role Overview
The Assistant Operations & Quality Manager takes full ownership of cleaning, inventory, quality, and guest-review operations across Artin's portfolio of short-term (STR), mid-term (MTR), and long-term (LTR) rentals, and leads the growth of Artin's External Cleans business.
Reporting directly to the Director of Operations, this role is accountable for keeping every property clean, well-stocked, inspection-ready, and highly rated. It combines hands-on property inspections — including triaging maintenance issues on-site — with the systems, reporting, and vendor management that keep operations reliable and scalable as the company grows.
This is a hands-on ownership role for someone who is equally comfortable in the field and behind the systems: driving to properties to inspect them one day, and refining cleaning workflows, supply logistics, and guest-review responses the next.
Key Responsibilities
1. Cleaning Operations — Full Ownership
- Own day-to-day communication and relationships with cleaning contractors across the portfolio
- Coordinate cleaner schedules for turnovers, mid-stay cleans, and maintenance cleans, and ensure adequate coverage at all times
- Onboard and train new cleaning contractors and ensure they follow Artin's procedures, including the pre-clean inspection process
- Monitor cleaner responsiveness, reliability, and performance; address issues and escalate to the Director of Operations when needed
- Recruit and expand the cleaner network as the portfolio grows
2. Inventory & Supplies — Ownership
- Own inventory levels and supply requests across all properties
- Coordinate purchasing, deliveries, and replenishment to keep properties consistently stocked
- Track supply usage, control costs, and reduce waste through better logistics
3. Quality Assurance & Property Inspections — Full Ownership
- Own the quality standard across the portfolio and ensure every property is consistently clean and guest-ready
- Conduct in-person property inspections, driving to properties as needed to verify condition and readiness firsthand
- Run and enforce the pre-clean / quality inspection process, reviewing photos, videos, and reports
- Triage maintenance issues identified during inspections — assess severity, determine
- urgency, and take or direct the appropriate next step
- Track cleanliness and readiness trends, flag recurring issues, and drive corrective action
4. Maintenance Triage & Coordination
- Assess and prioritize maintenance issues flagged during inspections or by cleaners, tenants, and guests
- Partner with Maintenance Coordinator to coordinate maintenance vendor quotes and scheduling, and track tickets through to resolution
- Ensure maintenance updates are communicated clearly to the Director of Operations and relevant teams
5. Guest Reviews Management — Full Ownership
- Own guest-review management across booking platforms — monitoring, responding to, and following up on reviews.
- Identify recurring themes in guest feedback and translate them into operational improvements.
- Protect and improve property ratings by resolving issues that affect the guest experience
- Report review trends and guest-satisfaction insights to leadership
6. External Cleans Business — Ownership
- Own and grow Artin's External Cleans business (cleaning services for third-party clients)
- Develop standardized cleaning processes, service offerings, and pricing
- Manage client acquisition, onboarding, and ongoing relationships
- Monitor service quality and client feedback, and drive continued growth of the line of business
7. Operational Reporting, Systems & Automation
- Build and maintain dashboards tracking cleaning operations, inventory, maintenance, quality, and guest reviews
- Monitor key metrics — cleaning completion rates, response times, unresolved issues, and review scores
- Work with the Director of Operations to standardize workflows and automate repetitive tasks
- Provide operational insights and reporting to leadership
Qualifications
Required
- 2+ years' experience in operations, hospitality, property management, or service operations
- Experience managing contractors or service providers
- A valid driver's licence and reliable personal vehicle for regular property visits
- Strong organizational, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced, hands-on environment
- Comfortable working with operational tools (Slack, task management platforms, reporting tools)
Preferred
- Experience owning cleaning operations, quality assurance, or facilities operations
- Experience in property management, STR/MTR/LTR, or hospitality
- Experience managing guest reviews or customer feedback
- Experience with workflow automation or operational systems
