Role Overview
We are looking for a detail-oriented, experienced SOP & Process Documentation Writer to help us build and formalize the operational backbone of our firm. This is a contract, part-time role suited for someone who thrives on creating clarity, structure, and precision in fast-moving professional environments ideally with an understanding of regulated industries such as immigration, legal, or financial services.
Responsibilities
- SOP Development
- Research, draft, and finalize Standard Operating Procedures (SOPs) for client-facing and internal workflows.
Process Documentation
- Map and document existing business processes using flowcharts, process narratives, and step-by-step guides.
- Identify gaps, redundancies, and inefficiencies in current workflows and flag them for review.
- Maintain a centralized, organized documentation library that is easy to update and access.
- Collaborate with team leads and subject matter experts to capture institutional knowledge accurately.
Quality & Version Control
- Ensure all documentation is accurate, version-controlled, and formatted consistently.
- Review and update existing documents as processes evolve or regulatory requirements change.
- Apply professional writing standards with attention to grammar, clarity, and tone appropriate for a regulated professional services firm.
Qualifications & Requirements
Required
- Minimum 3 years of experience writing SOPs, process documentation, or technical writing in a professional environment.
- Exceptional written English communication skills- clear, concise, and precise.
- Ability to absorb complex workflows quickly and translate them into structured documentation.
- Strong organizational skills and the ability to manage multiple documentation projects simultaneously.
- Proficiency with documentation tools (MS Word, Google Docs, Notion, Confluence, or similar).
- Ability to work independently and meet deadlines with minimal oversight.
Preferred (Strong Asset)
- Background in Canadian immigration, legal services, or another regulated industry.
- Familiarity with CICC regulations and immigration application processes.
- Experience creating process maps or flowcharts (Lucidchart, Visio, or similar).
- Prior experience supporting a consultancy, law firm, or professional services environment.
- Translate verbal and informal processes into structured, easy-to-follow written documentation.
- Build SOPs for intake, case management, file preparation, team communication, and compliance workflows.
- Ensure SOPs meet regulatory and professional standards applicable to immigration consulting.
Compensation: Competitive contract rate, to be discussed based on experience
