We are seeking a professional, organized, and customer-focused Administrative Assistant/Receptionist to join our team.
Position Summary
As the first point of contact for customers, visitors, and vendors, the Administrative Assistant/Receptionist plays a key role in creating a positive customer experience while supporting the day-to-day administrative operations of the dealership. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Reception & Customer Service
- Greet customers and visitors in a professional and friendly manner
- Answer and direct incoming phone calls
- Respond to general inquiries and provide excellent customer service
- Manage incoming and outgoing mail, courier packages, and deliveries
- Maintain a clean and welcoming reception area
Administrative Support
- Prepare, file, scan, and maintain documents and records
- Assist with data entry and maintaining accurate customer records
- Support various departments with administrative tasks and special projects
Accounting Support
- Process and reconcile receipts and invoices
- Assist with accounts payable and accounts receivable tasks
- Support month-end administrative processes
- Maintain organized financial records and documentation
General Office Support
- Assist in maintaining company forms and administrative procedures
- Support HR, sales, service, rentals, and accounting departments as required
- Adhere to company policies and confidentiality requirements
Qualifications
- High school diploma required; post-secondary education in administration, business, or accounting is an asset
- Previous experience in reception, administration, or customer service preferred
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, Teams)
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- High level of accuracy and attention to detail
- Ability to work independently and collaboratively within a team
- Experience with dealership, retail, or accounting software is considered an asset
