Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience with medical or dental office procedures is a plus, but not required. The Office Administrator will handle a variety of clerical tasks, support customer service efforts, and maintain efficient office workflows to support our team and clients effectively.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Schedule appointments, confirm bookings, and coordinate calendars for staff and clients
- Handle filing systems both electronically and physically to ensure easy retrieval of documents
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
- Support administrative functions including proofreading correspondence, managing mail distribution, and organizing office supplies
- Maintain a clean and organized work environment to promote efficiency
- Support medical or dental office procedures as needed, including patient check-in/out processes and insurance documentation
Qualifications
- Proven experience in office administration or clerical roles; experience in medical or dental offices is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Experience with QuickBooks or similar bookkeeping software preferred
- Excellent organizational skills with high attention to detail
- Effective communication skills, including phone etiquette and customer support experience
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Basic typing skills with accuracy; proofreading abilities are a plus
- Previous experience with front desk responsibilities and multi-line phone systems preferred
- Knowledge of medical or dental office procedures is a plus but not mandatory
Pay: $17.20-$30.12 per hour
