Reporting to the Executive Director, the Coordinator, Office of the Executive Director position is the operational anchor of our governance cycle. You will prepare and distribute Board and committee materials, record proceedings and decisions, maintain the corporate record, and manage the schedule, correspondence and travel of the Executive Director so that leadership time is directed to mandate delivery.
This role suits someone who is organized to the point of instinct, writes clearly, keeps confidences without exception, and is comfortable working with First Nations leadership, Elders and technicians.
WHAT YOU WILL DO
- Coordinate the annual governance calendar and all Board, committee and Annual General Meeting scheduling.
- Prepare and distribute meeting notices, agendas, briefing packages and background materials on time, every time.
- Record accurate minutes, track motions and resolutions, and maintain the resolution and action registers.
- Manage the Executive Director calendar, correspondence, briefing notes, travel and expense reconciliation.
- Maintain the corporate records system for minutes, resolutions, bylaws, policies and signed agreements.
- Administer the policy register and track policy review cycles for Board consideration.
- Arrange logistics for in-person, virtual and hybrid meetings, engagement sessions and forums, including cultural protocol requirements.
- Coordinate expense claims and travel in accordance with FNHIC-BC policy.
WHAT YOU BRING
Required:
- Diploma in business administration, office administration, public administration, or another related field. An equivalent combination of education and experience will be considered.
- Minimum of 3 years of experience providing senior administrative or executive assistant support.
- Minimum of 2 years supporting a Board of Directors, Council or similar governing body, including agenda preparation and minute taking.
- Demonstrated experience maintaining confidential records and information management systems.
- Experience coordinating meetings, travel and events, including budget reconciliation.
- Experience working with or within First Nations organizations, communities or Tribal Councils.
- Proficiency in Microsoft 365, including Word, Excel, Outlook, PowerPoint, SharePoint, and video conferencing platforms.
- Excellent written and verbal communication skills.
- Valid BC Class 5 driver license and access to a safe and reliable vehicle with appropriate insurance for work travel.
Preferred:
- Certificate or designation in governance administration, board governance or corporate secretarial practice.
- Previous experience in a not-for-profit, First Nations political organization or public sector governance environment.
- Experience supporting an organization through growth, transition or a service delivery transfer.
- Familiarity with the housing and infrastructure sector in British Columbia.
- Knowledge of the languages, cultures and protocols of First Nations in British Columbia.
