Reporting to the Manager, Member Administration, the Documentation Coordinator will be a key member of a dedicated project to lead, design and implement a SharePoint based knowledge management site to support our growing Member focused operations committed to providing service excellence in the administration of our plans.

As a Documentation Coordinator at HEB Manitoba, you will lead a project involving the design and launch of new SharePoint based knowledge hubs, ensuring information is organized, accessible and consistent.
Your responsibilities will include:
- Collaborate with stakeholders across the organization to understand knowledge needs and pain points.
- Design and build SharePoint sites tailored to distinct user groups.
- Develop site architecture, navigation, and page layouts to optimize efficiency and ease for end users.
- Develop and implement formatting guidelines to ensure consistency in how documents and knowledge items are presented.
- Organize and classify articles, forms, procedures and templated documents for intuitive access.
- Audit existing documentation stored across various platforms (e.g. shared drives, emails, legacy systems).
- Provide training or documentation on how to use and maintain the SharePoint sites.
- Support ongoing maintenance and updates post-launch to ensure site relevance and usability.
Qualifications for Your Success:
Experience & Education
- Completion of a post-secondary degree or diploma in Business Administration, Information Technology, Mathematics or related field.
- Experience building and maintaining SharePoint sites (Online SharePoint preferred).
- Proven track record in designing and deploying effective knowledge management solutions.
- Understanding of pensions or benefits administration is considered an asset but not required.
*An equivalent combination of education and/or experience may be considered.
Knowledge, Competencies & Skills
- Advanced expertise in Microsoft 365 applications and tools (Word, Excel, SharePoint, Teams, Outlook).
- Ability to independently drive initiatives while effectively managing multiple priorities.
- Proven ability to integrate and work well with team members in a collaborative and dynamic environment.
- Strong organizational and analytical skills for structuring and classifying large volumes of information with an eye for detail and accuracy.
- Excellent communication skills, both verbal and written.
