Executive Assistant to the Clinic Director
Flourish Health Services is seeking a warm, highly organized, and thoughtful Executive Assistant to support our Clinic Director and help keep the daily operations of our growing clinic running smoothly.
Flourish is a multidisciplinary health services clinic in Toronto providing psychological, occupational therapy, speech-language, social work, and related services to children, teens, adults, and families. Our work is strengths-based, neuroaffirming, and deeply relational. We are looking for someone who can bring that same care, discretion, and steadiness to a key administrative support role.
This position is ideal for someone who is detail-oriented, proactive, trustworthy, and comfortable working closely with senior leadership in a busy clinical environment.

Key Responsibilities
- Provide direct administrative support to the Clinic Director
- Manage scheduling, calendar coordination, follow-ups, and day-to-day priorities
- Support internal and external communication with professionalism and warmth
- Help organize meetings, agendas, notes, and action items
- Assist with clinic operations, documentation, and administrative projects
- Liaise with clinicians, administrative staff, families, and external partners as needed
- Support confidential matters with discretion, care, and good judgment
- Help keep the Clinic Director organized, prepared, and focused on high-priority work
- Assist with special projects, clinic initiatives, and process improvements
- Maintain accurate records and support smooth communication across the team
Ideal Candidate
The successful candidate will be someone who is calm under pressure, kind, resourceful, and exceptionally organized. They will be able to anticipate needs, follow through reliably, and manage sensitive information with professionalism and discretion.
We are looking for someone who communicates clearly, takes initiative, and enjoys being the person who helps make things easier for others. Experience in healthcare, mental health, education, professional services, or a clinic setting would be considered an asset.
Qualifications and Strengths
- Strong administrative, organizational, and communication skills
- Excellent attention to detail
- Comfort managing calendars, email, documents, and competing priorities
- Ability to handle confidential information appropriately
- Warm, professional, and client-centred approach
- Strong problem-solving skills and sound judgment
- Experience supporting an executive, director, clinician, or leadership team is an asset
- Familiarity with healthcare, mental health, education, or family-centred services is an asset
