Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Support bookkeeping activities using QuickBooks and assist with basic financial record keeping
- Provide exceptional customer service by addressing inquiries and supporting clients or patients as needed
- Assist in scheduling appointments, managing calendars, and coordinating meetings
- Proofread documents for accuracy and clarity before distribution
- Handle administrative support tasks such as photocopying, scanning, faxing, and mailing documents
- Maintain professionalism with phone etiquette across multi-line phone systems
Experience
- Previous office experience required
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Docs) is essential
- Experience with QuickBooks or bookkeeping is a plus
- Strong data entry skills with high accuracy and attention to detail
- Clerical experience including filing, document proofreading, and customer support roles
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Demonstrated ability to communicate effectively both verbally and in writing
- Familiarity with front desk operations and phone etiquette in professional settings
