Canadian Chinese School of Theology Vancouver (CCST Vancouver)
The Canadian Chinese School of Theology Vancouver (CCST Vancouver) is dedicated to equipping ministry leaders and nurturing believers to serve faithfully in God’s kingdom mission. Hours: 28 hours per week
Work Schedule: Generally Monday to Friday, 9:00am – 5:00pm. Flexibility to work evenings and weekends is required to support events and programs.
Salary: $21–25 per hour based on qualification and experience, plus medical and professional development benefits (as per CCST Vancouver Staff Handbook)
Location: CCST Vancouver main campus, with periodic travel to local churches and conferences
Reports to: Registrar

Position Summary
The Administrative Assistant/Associate ensures the smooth and efficient daily operation of our seminary’s office, classrooms, and activities. This role bridges the gap between organizational precision and creative outreach, offering vital support across general administration, event coordination, and marketing initiatives.
We are seeking a dependable, detail-oriented individual with strong communication skills and a proactive mindset. This position operates within a team-based structure, requiring excellent follow-through and a service-oriented heart.

Key Responsibilities
1. Marketing & Communications
- Plan, schedule, and execute promotional strategies for school events, coordinating a school-wide marketing calendar alongside recruitment and development teams.
- Utilize Canva to design visually engaging print and digital promotional materials, including flyers, brochures, and social media graphics.
- Draft, design, and schedule targeted email campaigns and newsletters using Mailchimp, and manage content creation and deployment across official social media platforms.
- Oversee the production, printing, and distribution of all promotional collateral.
- Responsible for school website maintenance, keeping the program and event pages on the school website up to date.
2. Program & Event Support (LTE & School-Wide)
- Provide comprehensive scheduling, administrative, and logistical support for orientations, retreats, graduations, seminars, public lectures, and school-wide events.
- Partner closely with different teams to ensure seamless event planning and communication.
- Coordinate resources and promotional efforts to boost engagement for student, faculty, and alumni activities.
- Provide vital, on-site execution for events, which includes working occasional evenings and Saturdays.
3. Daily Operations & Administration
- Assist with classroom setups and day-to-day academic operations.
- Maintain and update student e-portals, database management systems, and shared cloud drives.
- Establish and maintain well-organized digital and physical filing systems.
- In collaboration with other administrative staff, perform other administrative duties to support the efficiency of the overall operations. Additional responsibilities as assigned by the supervisor.

Qualifications
Education
- Bachelor’s degree (Business Administration, Marketing, or related field preferred).
- Theological education diploma or degree is an asset.
Experience
- Minimum 2 years of experience in administration, communications, marketing, or related field.
- Experience in an educational setting is an asset.
- Familiarity with theological education or church contexts is an asset.
Skills
- Strong organizational skills and meticulous attention to detail.
- Ability to manage multiple tasks and deadlines with accuracy.
- Proficiency in Microsoft Office Suite and comfort with digital platforms (Mailchimp, Canva, Zoom, CRM systems, project management tools).
- Experience with educational software is an asset.
- Excellent written and verbal communication skills in English and Chinese (Cantonese and Mandarin).
- Valid Driver’s License and reliable access to a vehicle (mileage reimbursed).
- Ability to perform light physical tasks (e.g., moving event materials).
