Gear Power specializes in truck-mounted hydraulic systems, SPIF axle installations, wheelbase modifications, dump body installations, and snow & ice control equipment. We are looking for a highly organized and detail-oriented Service Coordinator to support our service operations and ensure accurate vehicle intake, documentation, and job administration
About the role:
The Service Coordinator is responsible for managing the intake and release of vehicles, documenting customer concerns, creating work orders and sales orders, and supporting the service department with scheduling and administrative tasks. This role serves as a key support position within the service department, helping maintain an organized and efficient workflow from vehicle arrival through completion.
Key Responsibilities:
Vehicle Intake & Documentation
- Sign vehicles in and out of the facility.
- Complete detailed 360° vehicle photo inspections upon arrival and release.
- Verify customer and vehicle information.
- Record customer concerns and service requirements accurately.
- Capture and maintain vehicle service dates and availability information.
Work Order & Sales Order Management
- Create and maintain accurate work orders.
- Create sales orders with complete customer information and detailed descriptions of customer concerns.
- Ensure all documentation is entered accurately and completely into company systems.
- Update records as jobs progress through the shop.
Service Coordination & Administrative Support
- Work closely with the service team to schedule incoming work and manage shop workflow.
- Maintain accurate records of scheduled jobs and vehicle status.
- Support service advisors, technicians, and management with administrative tasks as required.
Key Management & Reception Support
- Tag, organize, and securely manage customer vehicle keys.
- Ensure keys are properly tracked and released according to company procedures.
- Answer incoming phone calls and direct inquiries when service advisors are unavailable.
Parts & General Support
- Assist with receiving parts and verifying deliveries.
- Support the service department with various administrative and operational duties as required.
Qualifications:
- Strong organizational skills and attention to detail.
- Excellent administrative and data-entry abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Comfortable using computers and business management software.
- Experience in trucking, heavy equipment, automotive, fleet maintenance, or service administration is considered an asset.
- Professional and courteous telephone manner.
- Ability to work independently and as part of a team.
- Valid G class license with a clean driving record

About the work environment:
Hours: Monday - Friday 8 am - 5 pm
Location: Mississauga, Tomken Road just north of Derry
Job Types: Full-time, Permanent
Pay: $18.00-$20.00 per hour
Experience:
- Customer service: 2 years (required)
- Automotive shop or Truck shop: 2 years (preferred)
