Position Summary: Provides support to the Executive Director, Technical
Director, Board Chair, Committee Chairs, and support to the membership and
the public. Provides support to Swim PEI that includes maintaining the
membership, coaches and official’s databases, internal and external
communications, and bookkeeping duties.
Principal Responsibilities:
Administrative
Maintain the Provincial Registrar:
- Manage annual membership registration requirements.
- Provide local support for the Swimming Canada registration platform.
- Attend Swimming Canada meetings regarding registration matters.
Maintain the Learning Management System (LMS) (database):
- Track and ensure compliance of educational training requirements for
Coaches.
- Track and ensure compliance of educational training requirements for Officials.
- Attend Swimming Canada meetings regarding LMS matters.
- Respond to and triage all general inquiries (i.e., Board, committee Chairs, etc.)
- Perform general office functions such as typing correspondence and documents, photocopying, mailings, to support Swim PEI board and committees, basic formatting of reports and documents as necessary, maintaining inventory.
- Organize and coordinate meeting logistics of Board and committees (i.e., establishing meeting schedule, scheduling and notifying of meetings, arrange meeting venue, catering).
- Support the preparation of, and distribution of meeting materials for Board and committees as necessary including supporting the drafting and distribution of meeting minutes.
- Update the website on a regular basis.
- Coordinate all external communication.
- Support the creation and management of digital and print content.
Financial
- Manage deposits on a weekly basis.
- Record and track revenue and expenses in accordance with Financial Policy.
- Prepare expenses for authorization and payment.
- Prepare monthly bank reconciliation.
- Assist with the preparation of monthly financial reports including income statement, balance sheet, and cashflow.
- Assist with the preparation and submission of required reporting to the Canada Revenue Agency and Workers Compensation Board.
- Assist with the annual funding application submissions.
- Assist with the annual reporting and submissions to funding partners.
- Assist with drafting the annual budget.
Required Skills
- Experience with or knowledge of organized sport environments.
- 3 - 5 years experience with Microsoft Office products including Word, Excel, Power Point, SharePoint.
- Strong written and oral communication skills.
- Strong organizational skills.
- Strong ability to work independently.
- Self-directed.
- Experience with website maintenance.
- Basic bookkeeping experience.
- Knowledge of Sage accounting software.
- Knowledge of website software; WordPress would be an asset
Pay: $22.00-$26.00 per hour
