We are seeking a reliable, detail-oriented Accounts Payable / Data Entry Clerk to manage daily vendor invoice workflow at our Milton office.
Key Responsibilities:
Accounts Payable & QuickBooks Workflow
- QuickBooks Coding & Entry: Review incoming invoices and accurately assign them to the correct vendor files and expense categories directly inside QuickBooks.
- Inbox Oversight: Main custodian of our central accounting email inbox; continuously monitoring and capturing all incoming vendor invoices to pull into the system.
- Discrepancy Checking: Verify invoice totals against internal records before processing them in QuickBooks.
- Vendor Record Upkeep: Maintain accurate digital files and clean vendor profiles, ensuring up-to-date documentation.
Data Entry & General Administration
- Data Entry: Accurately input verified financial data.
- Phone Reception: Answer incoming phone calls professionally, handling basic vendor inquiries regarding invoices.
- Office Administration: Assist with ongoing digital filing and general clerical tasks.
Requirements & Qualifications:
- Must be Proficient in QuickBooks: This is a core requirement. You must be comfortable navigating QuickBooks independently and have hands-on work experience entering data and managing bills within QuickBooks.
- AP Aptitude: A strong, practical understanding of how invoices are organized, categorized, and filed.
- Language & Communication: Fully fluent in English with excellent verbal and written skills (handling phone calls and email correspondence is a regular part of this role).
- Transportation: Must possess a valid driver’s license and a reliable personal vehicle for daily commuting to our Milton office.
- Detail-Oriented: Exceptional organizational skills with a proven track record.
Note to Applicants: An advanced accounting degree or CPA track is not required for this position. We highly value practical QuickBooks experience, clerical accuracy, reliability, and a strong administrative work ethic.
Pay: $21.00-$24.00 per hour
