Position Summary
We are seeking a qualified and detail-oriented Health & Safety/First Aid Administrator to join our team in a unionized manufacturing facility. This role is responsible for providing immediate and effective first aid response to workplace injuries or illnesses while also supporting the administration and coordination of the company’s occupational health and safety programs.
The successful candidate will demonstrate strong first aid skills, sound knowledge of Ontario health and safety legislation, and the ability to manage injury reporting, documentation, and return-to-work processes in collaboration with management, Human Resources, and union representatives.
Key Responsibilities
- Provide immediate and appropriate first aid care to employees who experience injury or illness in the workplace, in accordance with Ontario regulations and certification standards.
- Assess the nature and severity of injuries or illnesses and determine appropriate treatment or escalation to external medical services when required.
- Administer first aid treatments including wound care, bandaging, splinting, immobilization, and CPR/AED response.
- Maintain accurate, confidential, and timely records of all workplace injuries, treatments, near misses, and incidents.
- Support compliance with the Ontario Occupational Health and Safety Act (OHSA) and associated regulations.
- Assist in the administration of Workplace Safety and Insurance Board (WSIB) claims, including completion of Form 7/8 documentation, follow-ups, and ongoing correspondence.
- Coordinate modified work, return-to-work plans, and workplace accommodations in collaboration with HR/Safety and management.
- Track injury trends and provide data to support hazard identification and injury prevention initiatives.
- Ensure first aid rooms, kits, AEDs, and medical supplies are properly stocked, maintained, and compliant with Ontario requirements.
- Conduct regular inspections of first aid equipment and ensure deficiencies are addressed promptly.
- Participate in workplace safety inspections and audits as required.
- Support incident investigations and contribute to corrective and preventive action planning.
- Provide guidance to employees on reporting procedures, medical documentation, and modified work processes.
- Maintain confidentiality and professionalism in all medical and safety-related matters.
- Support health and safety training initiatives (e.g., first aid awareness, injury reporting procedures).
- Assist with emergency preparedness and response planning.
- Perform other related duties as assigned.
Requirements
- Post-secondary education in Human Resources, Occupational Health & Safety, Industrial Hygiene, Workplace Safety, or a related discipline is required or strongly preferred.
- Valid Standard First Aid and CPR/AED certification (Level C or higher), recognized in Ontario.
- Knowledge of the Ontario Occupational Health and Safety Act (OHSA), WSIB legislation, and return-to-work and accommodation requirements.
- Previous experience in a First Aid, Health & Safety, Human Resources, or Occupational Health role within a manufacturing or industrial environment is strongly preferred.
- Completion of, or willingness to obtain, Joint Health & Safety Committee (JHSC) Certification – Part 1 is considered an asset.
- Familiarity with disability management, modified work programs, and WSIB claims administration is an asset.
- Experience working in a unionized environment and understanding collective agreement protocols is considered an asset.
- Strong organizational, documentation, and time-management skills with excellent attention to detail.
- Ability to remain calm, decisive, and professional in emergency or high-pressure situations.
- Excellent communication and interpersonal skills with the ability to work collaboratively across departments.
- Proficiency with basic computer applications, including incident tracking systems, spreadsheets, and HRIS platforms.
- Willingness to work flexible schedules, including rotating shifts, 8-hour and 12-hour shifts, weekends, and holidays as required.
Working Conditions
- Work is performed in a manufacturing environment with potential exposure to noise, dust, moving equipment, and industrial hazards.
- Physical requirements include standing, walking, bending, and lifting objects up to 50 pounds.
- Must be capable of responding quickly to emergency situations.
