SCOPE
Reporting to the Associate Vice-President, Development, the incumbent provides strategic, operational, and executive level coordination support to the Office of the Associate Vice President (AVP), Development. This role entails acting as a key integrator, aligning strategic objectives with operational execution of Development priorities and initiatives. It involves coordinating strategic initiatives, preparing materials for internal and external stakeholders, and supporting informed decision-making through research, analysis, and structured follow-ups.
PRIMARY RESPONSIBILITIES
• Serve as the primary coordination and operational support for the AVP, Development, enabling the effective daily functioning of the AVP’s office.
• Support planning, coordination, and tracking of initiatives within the AVP’s portfolio, monitoring timelines, deliverables, and follow up actions.
• Manage complex calendars, meetings, and workflow coordination, prioritizing requests in alignment with strategic objectives. Coordinate key meetings, anticipate upcoming needs, and synthesize information from various files to brief the AVP and support timely, well-informed decisions.
• Draft, review and analyze data and documentation from different stakeholders, ensuring strategic relevance and accuracy while maintaining sensitivity and confidentiality.
• Act as a key liaison between the AVP, Development and senior administrators, donors, volunteers, faculty leadership, and Advancement colleagues.
• Coordinate leadership, governance, and committee meetings, including agenda preparation, briefing materials, minutes, action tracking, and follow up.
• Anticipate operational needs and identify opportunities for process improvement within AVP’s office and the Development team.
• Manage the daily activities, the scheduling and resource management of special projects and initiatives.
• Maintain and update Advancement database records related to the AVP’s activities, including contact reports, follow up actions, and meeting outcomes.
• Support financial and administrative processes related to the AVP’s and Development team activities.
• Coordinate with central Advancement units (e.g., donor engagement, communications, information systems) to support Development and AVP led initiatives.
• Perform other related duties in support of AVP’s portfolio and the Development team.
QUALIFICATIONS
• Bachelor’s degree in Business Administration, Management, Communications, Public Administration, or another field relevant to the responsibilities of the position, with one to two years of work experience in a senior level office.
• Experience providing senior level operational support, preferably in a complex institutional environment such as a university, public sector, or advancement organization.
• Demonstrated experience supporting senior leadership, including coordination of executive priorities, meetings, documentation, and follow up.
• Good knowledge (Level 4) of spoken and written English and French, with the ability to draft, edit, and interpret complex written materials and communicate effectively with diverse internal and external stakeholders.
• Good knowledge (intermediate level) of Microsoft 365 applications Word, Excel, PowerPoint, Outlook, Teams, SharePoint; ability to prepare high quality documents, reports, presentations, and tracking tools.
• Proven ability to manage multiple priorities, exercise sound judgment, and work effectively in a fast paced, deadline driven environment.
• Excellent organizational, analytical, and problem-solving skills, with the ability to synthesize information and anticipate operational needs.
• Superior interpersonal and communication skills, including the ability to establish productive working relationships with senior administrators, colleagues, donors, volunteers, and external partners.
• Demonstrated discretion, professionalism, and strong sense of confidentiality when handling sensitive information.
• Customer service orientation.
• Ability to work independently and collaboratively within a team environment; adaptable and responsive to changing priorities.
• Experience working in Advancement, fundraising, or a complex institutional environment such as a university is an asset.
• Familiarity with Advancement or CRM database systems is an asset.
• Experience supporting executive offices, governance bodies, or senior leadership teams is an asset.
• Knowledge of project coordinator or process improvement principles is an asset.
