We are looking for a friendly, organized, and motivated Medical Office Assistant (MOA) to join our team. This is a hybrid administrative and clinical role, where you will work alongside a collaborative team of family physicians and Medical Office Assistants to provide exceptional patient care and support the smooth day-to-day operation of the clinic.
You will have the opportunity to build meaningful relationships with patients while supporting a team dedicated to high-quality, longitudinal family medicine.
Whether you are an experienced MOA or a recent graduate eager to learn, we would love to hear from you. Experience with MYLE EMR is an asset, and paid training will be provided for the right candidate.

Key ResponsibilitiesAdministrative
- Welcome patients in a warm, professional, and compassionate manner.
- Answer and direct telephone calls.
- Schedule, confirm, and coordinate patient appointments.
- Register new patients and maintain accurate demographic information.
- Maintain accurate patient records using MYLE EMR.
- Process specialist referrals, consultation requests, diagnostic imaging requests, incoming reports, forms, and correspondence.
- Scan, upload, and organize medical documents within the electronic medical record.
- Manage incoming and outgoing faxes and secure electronic communications.
- Support physicians with day-to-day administrative operations.
Clinical
- Prepare patients for appointments and examinations.
- Measure and document vital signs, including blood pressure, pulse, temperature, oxygen saturation, height, weight, BMI, and infant measurements (weight, length, and head circumference).
- Prepare, stock, and maintain examination and procedure rooms.
- Assist physicians with examinations, immunizations, and office procedures within the MOA role.
- Clean and disinfect examination rooms and medical equipment between patients.
- Reprocess reusable medical instruments and operate the autoclave according to clinic protocols.
- Monitor vaccine inventory and refrigerator temperature logs.
- Maintain medical and office supply inventory.
- Follow infection prevention and control procedures to ensure a safe clinical environment.
Qualifications
- Medical Office Assistant certificate or equivalent medical office experience preferred.
- New graduates are welcome to apply.
- Experience in a family practice or primary care setting is an asset.
- Experience obtaining vital signs and patient measurements.
- Experience preparing examination and procedure rooms.
- Experience with instrument reprocessing and autoclave operation is an asset.
- Strong communication, organizational, and customer service skills.
- Comfortable using electronic medical records and Microsoft Office.
- Experience with MYLE EMR, Ocean eReferral, Pathways, or similar healthcare systems is an asset. Paid training will be provided.
