Due to continued growth, we are currently seeking an experienced Legal Assistant / Paralegal to join our team.
Position Overview:
The Legal Assistant / Paralegal will provide legal and administrative support across multiple business divisions, including real estate, construction, property management and restoration operations. This role is responsible for preparing legal documentation, coordinating legal processes, maintaining records, supporting litigation and claims management activities, liaising with internal and external stakeholders, and ensuring the efficient administration of legal files. The successful candidate will possess strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Prepare, draft, revise and proofread legal correspondence, agreements, pleadings, court forms, notices, reports and other legal documentation.
- Assist with litigation, insurance claims, collections, contract administration, commercial matters, property-related matters and general corporate legal activities.
- Coordinate the filing, service and delivery of legal documents with courts, tribunals, external counsel, insurers and other parties.
- Liaise with clients, tenants, contractors, consultants, insurance representatives, external legal counsel, government agencies and other stakeholders regarding legal and administrative matters.
- Maintain and administer legal files, records and documentation in both electronic and paper formats, including document production, scanning, indexing, version control and electronic filing.
- Organize, prioritize and manage multiple legal files while monitoring critical deadlines, court dates, claim milestones, contractual obligations and limitation periods.
- Conduct legal, corporate, property and other relevant searches and assist with the collection and organization of supporting documentation.
- Coordinate meetings, appointments, calendars and legal correspondence as required.
- Assist with the preparation and administration of contracts, service agreements, settlement documents and other business-related legal documentation.
- Provide administrative and legal support to the legal and executive teams, including assistance with reports, special projects and day-to-day operations.
- Ensure accuracy, completeness and confidentiality of all legal documentation and records.
- Perform other related duties and responsibilities as assigned.
Required Knowledge and Experience:
- Legal Assistant diploma, Paralegal diploma or equivalent legal education is required.
- Minimum 5+ years of experience as a Legal Assistant or Paralegal within a law firm, insurance, corporate legal department or similar environment.
- Experience supporting litigation, corporate, commercial, construction, real estate, insurance claims or related legal matters is considered an asset.
- Strong understanding of legal documentation, court procedures, file management practices and legal administration.
- Exceptional organizational and time management skills with strong attention to detail, accuracy, initiative and the ability to manage competing priorities in a fast-paced environment.
- Excellent written and verbal communication skills with a professional and client-focused approach.
- Ability to work independently while contributing effectively within a collaborative team environment.
- High level of discretion and professionalism when handling confidential information.
- Advanced proficiency with Microsoft Office 365 applications, including Word, Outlook, Excel and Teams.
- Strong work ethic, reliability and commitment to delivering exceptional service.
