We’re looking for a Front Desk / Patient Experience & Operations Coordinator who is warm, organized, detail-oriented, and thrives in a fast-paced healthcare setting. This role is much more than answering phones or booking appointments — you’ll play a central role in creating a positive experience for every person who visits the clinic while helping support the day-to-day operations and growth of the practice.

What You’ll Do
- Welcome patients and visitors with professionalism, warmth, and confidence
- Manage appointment scheduling, rescheduling, cancellations, and waitlists using Jane App
- Answer phones, emails, and online inquiries promptly and professionally
- Help new patients understand our services and guide them through the booking process
- Process payments, insurance claims, ICBC and WorkSafeBC visits, and direct billing submissions accurately
- Maintain organized and detailed notes and administrative records
- Support clinicians by helping maintain smooth clinic flow and optimized schedules
- Help patients navigate treatment recommendations, service options, and payment conversations with clarity, professionalism, and empathy
- Confidently communicate the value of recommended care plans and services in a patient-first, educational, non-pushy manner
- Prepare and maintain treatment spaces, reception areas, and shared clinic spaces to a high standard
- Assist with inventory management and restocking front desk and treatment room supplies
- Coordinate communication between practitioners, patients, and insurers when needed
- Assist with maintaining and supporting the clinic’s social media presence, community engagement, and online communication initiatives
- Capture occasional behind-the-scenes clinic content, clinic updates, or community event highlights where appropriate
- Support occasional community events, marketing initiatives, and clinic promotions
- Contribute to a positive, team-first environment where everyone supports one another

Qualifications & Experience
- 1+ year of reception, administrative, customer service, hospitality, healthcare office, or consultative sales experience preferred
- Experience with Jane App or other EMR/scheduling software is an asset
- Strong computer skills and comfort learning clinic software systems
- Experience with direct billing, ICBC claims, or extended health benefits is an asset
- Experience managing or contributing to social media platforms such as Instagram or Facebook is considered an asset
- Comfort discussing fee-for-service offerings, memberships, or treatment recommendations in a professional and patient-focused manner
- Basic content creation skills (photos, stories, captions, Canva, etc.) are considered an advantage
- Excellent organizational and multitasking abilities
- Strong verbal and written communication skills
- Experience in a healthcare, wellness, or allied health setting is preferred but not required

Position Details
- Full-time or part-time opportunities available
- Some evening and/or Saturday availability will be required
- Competitive hourly compensation based on experience
