Couchiching Family Health Team
Position: Payroll and Benefits Specialist (24 hours/wk)
Reports To: Director of Operations
Salary will be pro-rated to applicable FTE ($31,200 - $33,000) per year

Couchiching Family Health Team is seeking a Payroll & Benefits Specialist to support the timely and accurate administration of payroll, group benefit and pension plan programs. This role supports a multidisciplinary healthcare team and contributes to a positive employee experience by ensuring staff are paid correctly, understand their benefits, and receive consistent, reliable payroll services in accordance with funding and legislative requirements.
Roles and Responsibilities:
Payroll Administration
- Manage end-to-end payroll processing for all CFHT employees
- Review and approve employee timesheets to ensure alignment with organization policies and individual employment agreements
- Ensure payroll accuracy, timeliness, and compliance with Employment Standards Act (ESA), Income Tax Act and other relevant legislation.
- Process new hires, terminations, leaves, and status changes
- Calculate payroll adjustments and time off balances as required
- Prepare Records of Employment (ROEs)
- Respond to payroll-related employee inquiries confidentially and professionally
- Experience responding to employee inquiries in a service-oriented environment
- Prepare payroll and benefits data for reporting, budgeting, and year-end processes
- Calculate time off balances at year-end
- Complete year end tasks including adjustments, issuing T4s, and T4As
- Maintain accurate employee payroll and benefit records
- Experience with year-end payroll processes (T4s, T4As, pension reconciliations)
- Experience preparing reports for finance, audits, or funders
Benefits & Pension Administration
- Administer group benefits programs (health, dental, LTD, life insurance)
- Coordinate employee enrollment, changes, and terminations
- Administer legacy group registered retirement savings plan
- Support administration of pension plan, including:
- Enrollments
- Calculation of contributions
- Reporting and audits
- Educate employees on benefits and pension options
Employee Leave Administration
- Validate payroll, benefits, pension and RRSP information for employees requesting pregnancy or parental leaves
- Ensure administration of pension, RRSP and benefit programs for employees on leave align with CFHT policies and applicable legislation
Education/Specific Job Requirements:
- Diploma or degree in Payroll, Accounting, Human Resources, or related field
- Minimum 3–5 years of payroll and benefits administration experience
- Payroll Compliance Practitioner (PCP) designation or actively pursuing
- Strong knowledge of Ontario payroll legislation including Employment Standards Act (Ontario) Income Tax Act and Ontario Pension Benefits Act
- Advanced Excel skills used for payroll and benefits reconciliation and reporting
- Experience administering group benefits and pensions
- Experience with Payworks an asset
- High level of accuracy, discretion, and attention to detail
- Experience with healthcare, not for profit or publicly funded organizations preferred
- Successful Police Record Check with Vulnerable Sector Search
- Compliance with organizational vaccination requirements, including COVID-19 or other infectious disease vaccinations as recommended by public health authorities
