Rugby Ontario is actively searching for a talented and ambitious individual who is passionate about the field of sport management, wants to apply their knowledge and experience and support a vision of Rugby for All.
Reporting to the Director, Rugby Operations, the Coordinator, Partnerships & Events assist in the planning, logistics, administration, and execution of all Rugby Ontario events from competitions and Cup Championships to a marquee fundraising event, Rugby in the Square, and the annual Hall of Fame & Awards. This position provides a critical and fundamental service to support the growth of rugby in Ontario through the creation and delivery of exciting events and partnerships. The Coordinator will also support the organization in the areas of sponsorship/partnership development, fundraising and other forms of revenue generation.
Compensation & Benefits
Upon joining the team, you will receive;
- $45,000-$50,000 per annum, based on experience;
- Comprehensive health and dental benefits;
- 2 weeks of paid time off annually;
- Full-time salaried position, standard business hours (9 am - 5 pm). The nature and scope of this position may, from time to time, require, particularly through extended periods of the year, the need for work to be scheduled outside regular business hours, including evenings and weekends with a willingness to travel when required.
- Hybrid work environment – remote four (4) days a week, in office minimum of one (1) day a week (subject to change) plus a monthly team collaboration day in the Rugby Ontario office. (Office Address: Toronto Pan Am Sports Centre – 875 Morningside Avenue, Toronto, ON M1C 0C7)
What you’ll be doing
Primary Duties and Responsibilities
- Facilitate the planning, coordination, and execution of all Rugby Ontario events
- Support the content creation process for promotion and communication of Rugby Ontario events.
- Work with the Director, Rugby Operations to develop administrative documents and event processes;
- Plan and execute the annual Rugby Ontario events calendar (Hall of Fame, Rugby in the Square, League Championships, Competition events, etc.).
- Lead all pre-/post-event orientation and debrief meetings, ensuring a focus on continuous improvement and efficacy within the Rugby Ontario events program.
- Coordinate the annual event host bidding process for marquee events and competitions.
- Build and maintain strong working relationships with volunteers, athletes, match officials, coaches, parents, and partners;
- Coordinate with the execution of operational planning, budgeting, and expense tracking;
- Support the planning and execution of Provincial/High Performance representative program events, as required by the department's staff leads.
- Serve as the day-to-day point of contact for key partner and supplier accounts.
- Assist with the procurement and servicing of corporate partnerships, sponsors and suppliers, including detailed tracking and reporting.
- Identify opportunities for new business development opportunities and strengthen relationships with existing partners.
- Coordinate activation programs, including contracted onsite activations at events.
- Coordinate with all event vendors/suppliers to ensure compliance with policies and procedures.
- Liaise with vendors and suppliers on all orders to ensure accuracy, completeness, and timely arrival.
- Facilitate the development of pitch decks and proposals for new partners in conjunction with Rugby Ontario’s marketing and communications agency of record.
- Coordinate reporting, tracking and evaluation of event and partnership outcomes via survey design and analysis.
- Assist in the enhancement of Rugby Ontario’s internship and volunteer programs.
- Other duties as assigned by the Director, Rugby Operations and / or Chief Executive Officer.
Desired Experience/Qualifications:

- A post-secondary level of education in a related field of study (i.e. Sports Management, Recreation, Event Planning/Management, Community Development)
- Prior experience working in a sports organization
- Strong leadership, organizational and communication skills
- Strong attention to detail and creativity
- Ability to make decisions independently or with minimal assistance
- Exceptional time management, planning, analytical and reporting skills
- Self-directed and results-oriented with the ability to multi-task and problem-solve
- Proficient computer skills using both Mac and PC and Microsoft Office
- Ability to work within a flexible schedule and in a remote work environment setting
- Demonstrated strong values and ethics, in accordance with Rugby Ontario’s organizational values (and other Rugby Ontario policies), through personal and professional behaviours
- Demonstrated experience working with and supporting volunteers and/or in customer service
- Current, clear criminal record check for the vulnerable sector required
Nice-to-haves
- Knowledge of Rugby Ontario and the Ontario rugby community is an asset but not essential
- Demonstrated experience working in competitions and events (e.g. scheduling, logistics planning, database management, etc.)
- Willingness to be featured on camera for promotional and informational purposes
Additional Requirements
- Available to work evenings and weekends as required (due to the nature of this event-based position, this role requires a high volume of work on weekends during peak summer season periods)
- Must be legally eligible to work in Canada with a valid Police Record Check.
- As this job requires remote work and travel, you must have a valid driver’s license and reliable transportation.
