Operations Coordinator

We’re hiring an Operations Coordinator to work directly with our COO at inecta, a cloud ERP company serving the food and beverage industry. It’s a broad role — you’ll help across technical delivery, product, presales, client services, AI tooling, partner programs, building systems and processes, and the financial and operational data that runs through all of it.
The COO is hands-on and involved in many things. She needs someone who can keep up. You won’t spend time on tasks an AI can do — we automate those. This role is the judgment, follow-through, and relationships that require a person. She’ll teach you a lot, and she expects you to pick things up fast and run with them.
What You’ll Do
You’ll help the COO get more done across her full scope. That means different things on different days — here’s a sense of the range:
- Help build and maintain the AI tools and business systems the company runs on — Claude skills, automations, process systems
- Support the COO’s revenue-generating work — complex deals, escalations, partnership conversations. Help her prepare, follow through, and amplify
- Own the follow-through on complex operational processes that span multiple teams and sometimes external parties — the kind of work where steps get dropped because no single person is watching the whole thing
- Follow up on commitments across the company — track what was promised, by whom, by when, and chase it before it slips
- Prep management reports from accounting and operational data. You don’t need to be an accountant, but you need to be comfortable pulling financial data and making sense of it
- Stay on top of partner programs — Microsoft, Anthropic, and others — making sure we meet requirements and stay certified
- Own recurring executive deliverables — board presentations, leadership reports, company-wide updates
- Handle whatever else she needs. This is a broad role.
Who You Are
- Smart, in a way that’s verifiable on a written exercise
- Hyper-organized — you track everything, follow up proactively, nothing falls through the cracks
- AI-fluent and technically curious — you’ve built things with AI, you can read and modify a Claude skill, you’re comfortable with structured text and basic logic
- Comfortable with numbers — you can pull accounting data, prep a management report, and talk to an accountant without needing to be micromanaged
- Energetic and enthusiastic — you're excited to learn fast and help with lots of different things
- Self-aware about your own judgment — you know when to escalate and when to act
- Strong command of the English language, both written and spoken
- Technically literate — advanced Excel (pivot tables, lookups, formulas); familiarity with how SQL databases work
- Able to learn new systems and software efficiently
Compensation
Base $75,000–95,000 CAD depending on experience, plus a discretionary performance-based bonus paid semi-annually. Full inecta benefits package including RRSP with 3% company contribution, sunlife insurance, LTD, STD, vacation, sick time. 100% remote. Occasional travel may be required.
