The Asset Coordinator is responsible for managing the availability, tracking, and operational readiness of trucks and trailers across the fleet. The role ensures optimal fleet utilization, accurate asset visibility, and coordination of maintenance activities to support daily operations.
Working closely with Planning, Dispatch, Safety, and Maintenance teams, the Asset Coordinator ensures equipment is available, compliant, and efficiently utilized to meet operational and customer requirements.
Key Responsibilities:
1. Asset Tracking & Fleet Visibility

Maintain accurate system records for all trucks and trailers.

Monitor asset location, availability, and status within operational systems.

Track external carrier trailers and manage equipment movements.
-
Maintain system visibility for trailer locations, yard utilization, and asset status.
-
Track cross-docking activities and storage trailers at customer sites.
2. Fleet Maintenance Coordination

Coordinate inspections, repairs, and preventive maintenance for trucks and trailers.

Ensure maintenance schedules and service intervals are completed and documented.

Coordinate asset availability for CVIs, maintenance, and repairs.

Work with Maintenance teams to ensure assets remain roadworthy and compliant.

Escalate equipment issues impacting operational readiness.
3. Operational Asset Allocation

Collaborate with Planning and Dispatch teams to allocate equipment based on operational needs.

Monitor fleet utilization, dwell time, and equipment availability.

Support efficient trailer pool management and equipment replenishment.

Assist in minimizing operational disruptions due to equipment shortages.
4. Vendor & Customer Coordination

Coordinate with vendors and third-party providers for repairs, equipment, or asset services.

Support customer-specific equipment requirements and trailer availability.
-
Manage rental or leased equipment usage and ensure timely returns.
5. GPS & Tracking Systems Management
-
Monitor GPS and telematics systems to maintain real-time fleet visibility.

Troubleshoot tracking issues and coordinate with vendors for repairs or replacements.

Manage geofencing, system alerts, and location tracking for operational visibility.
6. Compliance & Safety
-
Ensure fleet compliance with provincial and federal safety regulations.

Support the Safety team in maintaining compliance standards for trucks and trailers.

Ensure required inspections, documentation, and repairs are completed.
7. Reporting & Fleet Optimization

Monitor fleet utilization, trailer dwell time, downtime, and asset performance.

Provide reporting on trailer pool levels, asset availability, and equipment status.

Identify idle equipment & coordinate redeployment to improve fleet utilization and reduce operational costs.

Work with Planning and Dispatch teams to improve trailer turnover and reduce yard congestion.

Support trailer pool management and equipment replenishment.
Qualifications:
-
Diploma or Bachelor’s degree in Supply Chain, Business Administration, or related field will be an asset.

1–2 years of experience in dispatch in trucking industry will be considered an asset.

Intermediate or advanced excel skills.
