The Program Supervisor – School Age Programs is a full-time leadership position responsible for the overall operation,
supervision, and administration of Paris Child Care’s Before and After School programs.
This role provides direct leadership to assigned school age programs by supporting staff, ensuring high-quality
programming, maintaining compliance with all licensing and regulatory requirements, supporting children and families, and
overseeing the day-to-day operational, administrative, and financial functions of the programs. The position is also
responsible for the planning and management of all of Paris Child Care’s camp programming including, Summer, March
Break, and PD Day camps.
The Program Supervisor actively promotes the mission, vision, values, and Program Statement of Paris Child Care and
ensures that all assigned programs operate in accordance with the policies and procedures of the organization, the Child
Care and Early Years Act, Ministry of Education requirements, Grand Erie Public Health requirements, fire regulations, and
all other applicable legislation and standards.

KEY RESPONSIBILITIES
1. Operations and Program Oversight
The Program Supervisor – School Age Programs is responsible for the daily operation of assigned school age programs.
Responsibilities include:
- Overseeing the daily operations of all assigned Before and After School programs.
- Plan and manage Paris Child Care Summer, March Break, and PD Day camps.
- Ensuring staff-to-child ratios are maintained at all times.
- Supporting safe, efficient, and effective program operations across all assigned sites.
- Monitoring program quality and ensuring alignment with Paris Child Care’s Program Statement and organizational
expectations. Working alongside program staff to ensure all licensing, health, safety, and operational requirements are
consistently met.
- Addressing parent concerns in a professional, proactive, and solution-focused manner, escalating matters to the
General Manager or Executive Director as appropriate.
- Reporting serious occurrences immediately to the General Manager and/or Executive Director and ensuring all
reporting procedures are completed within required timelines.
- Maintaining clear and thorough internal communication regarding operational issues, staffing matters, and site
updates.
- Identifying operational challenges and implementing solutions to support the smooth functioning of programs.
- Assisting staff with program planning, implementation, and overall classroom support as needed.
- Supporting special events, field trips, and other programming activities connected to school age services.
2. Programming and Curriculum Support
The Program Supervisor – School Age Programs works with qualified staff to support the development and implementation
of engaging, age-appropriate programming that aligns with provincial requirements and Paris Child Care’s Program
Statement.
Responsibilities include:
- Supporting staff in the planning and implementation of developmentally appropriate programming for school age
children.
- Promoting quality childcare and advocating for children, families, and the childcare profession.
- Ensuring learning experiences are documented appropriately and made visible to families.
- Serving as a resource to staff in relation to program planning, child guidance, and best practices.
- Supporting staff in the implementation of How Does Learning Happen? and other relevant program frameworks.
- Participating in community awareness, education, and family-oriented events on behalf of Paris Child Care.
3. Enrollment, Records, and Administration
The Program Supervisor – School Age Programs is responsible for administrative systems that support the effective
operation of the programs. Responsibilities include:
- Overseeing registration and enrollment processes for assigned programs.
- Maintaining accurate waitlists and supporting family placement in accordance with organizational procedures.
- Ensuring child files are complete, current, and compliant, including attendance, emergency contacts, health
information, immunization records, and medication documentation.
- Ensuring enrollment packages are completed at the time of registration.
- Providing tours to prospective families and encouraging visits before children begin in care.
- Keeping Brant One List information current and maintaining communication with families on waitlists.
- Preparing and maintaining administrative reports, records, and documentation related to operations, attendance,
enrollment, and compliance.
- Ensuring required documentation and information on the CCLS Portal is complete, current, and accurate.
- Supporting student placements and ensuring effective systems are in place for supervision and onboarding.
4. Legal, Licensing, and Compliance
The Program Supervisor – School Age Programs is accountable for ensuring all assigned programs remain compliant with
applicable legislation, regulations, and PCC policies.
Responsibilities include:
- Following and implementing all Paris Child Care policies, procedures, and operational requirements.
- Ensuring compliance with the Child Care and Early Years Act and all Ministry of Education licensing standards.
- Maintaining ongoing compliance with requirements from the Ministry of Education, Grand Erie Public Health, and
local fire authorities.
- Completing and submitting Serious Occurrence reporting through the CCLS Portal within required timelines and
following up as required.
- Supporting annual licensing visits and meeting with Ministry Program Advisors as needed.
- Maintaining children’s immunization records in accordance with public health requirements.
- Sustaining enrollment levels in accordance with licensed capacity and applicable service agreements.5. Financial Responsibilities
The Program Supervisor – School Age Programs supports the financial administration of assigned programs and is
responsible for ensuring accurate and timely program-related financial processes.
Responsibilities include:
- Supporting the implementation of the annual program budget.
- Monitoring program expenditures and identifying concerns related to budget pressures.
- Communicating financial concerns to leadership and assisting with cost-control measures as needed.
- Ensuring parents understand Paris Child Care’s financial policies.
- Following up on returned fees and outstanding payments in a timely manner.
- Completing required monthly subsidy and fee billing processes accurately and on time.
- Ensuring billing reflects children’s actual enrollment and attendance patterns.
- Submitting program change information to support accurate billing and recordkeeping.
6. Staffing, Leadership, and Performance Management
The Program Supervisor – School Age Programs provides direct leadership to assigned staff and is responsible for fostering
a strong, professional, and supportive workplace culture.
Responsibilities include:
- Supervising, mentoring, and supporting all assigned staff.
- Building a strong and effective team through open communication, coaching, and leadership.
- Recruiting, interviewing, and hiring staff in collaboration with leadership, as required.
- Coordinating onboarding and orientation for new staff.
- Conducting performance evaluations, providing ongoing feedback, and supporting professional growth and goal setting.
- Addressing performance concerns, workplace issues, and disciplinary matters in accordance with Paris Child
Care policies and applicable employment legislation.
- Observing daily routines and staff practice on a regular basis and providing coaching where needed.
- Ensuring staff files are current and include all required documentation, including immunization records, First
Aid/CPR certification, College of ECE membership where applicable, and Criminal Reference Check/Offence
Declarations.
- Ensuring staff maintain required professional learning and Continuous Professional Learning (CPL) obligations
where applicable.
- Conducting regular staff meetings and sharing relevant operational and organizational information.
- Providing on-the-job training and support to strengthen staff performance and consistency.
7. Parent and Family Communication
The Program Supervisor – School Age Programs plays a key role in maintaining strong, respectful, and responsive
relationships with families.
Responsibilities include:
- Serving as a visible leadership presence and point of support for families within the assigned programs.
- Supporting timely, professional, and effective communication with families.
- Ensuring families receive current handbooks, policy updates, and program information.
- Supporting staff in maintaining regular communication with parents regarding their child’s care and experience in
the program.
- Meeting with prospective and current families as needed to discuss enrollment, program fit, concerns, and
support needs.
- Providing parenting resources and referrals to community supports where appropriate.
- Recognizing, documenting, and responding appropriately to concerns related to accidents, illness, suspected
abuse, or other child wellbeing matters in accordance with policy and legislation.
8. Food, Facilities, and Site Maintenance
The Program Supervisor – School Age Programs is responsible for supporting safe, clean, and well-maintained program
environments.Responsibilities include:
- Overseeing food distribution processes at assigned sites.
- Maintaining communication with Paris Child Care’s caterer regarding food service issues and concerns.
- Ensuring menus, allergy information, and portion guides are current and available as required.
- Ensuring sites remain clean, safe, organized, and visually welcoming.
- Monitoring supplies and equipment to ensure programs are adequately resourced.
- Supporting regular building maintenance and safety practices, including fire drills, inspections, playground
inspections, and daily safety checks.
- Ensuring staff complete required daily and ongoing inspection procedures.
9. Professional Responsibilities
The Program Supervisor – School Age Programs is expected to demonstrate professionalism and leadership in all aspects
of the role.

- Maintaining confidentiality of all information related to children, families, staff, and Paris Child Care.
- Representing Paris Child Care in a professional manner in the community.
- Maintaining membership in good standing with the College of ECE, where applicable.

REQUIRED QUALIFICATIONS
Education and Experience
- RECE diploma required.
- Minimum 3–5 years of management experience, preferably in a childcare setting.
- Experience supervising staff and overseeing program operations is required.
Skills and Knowledge
- Strong knowledge of the Child Care and Early Years Act and Ministry licensing requirements.
- Strong understanding of relevant legislation including the Employment Standards Act, Human Rights Code,
Occupational Health and Safety Act, and workplace violence and harassment requirements.
- Excellent organizational and time management skills.

WORKING CONDITIONS / HEALTH AND SAFETY
This position operates primarily in a childcare environment and includes office-based and on-site responsibilities.
The Program Supervisor – School Age Programs may regularly encounter bodily fluids including mucous, urine, feces, and
vomit, and may occasionally encounter blood from minor injuries. Universal precautions are in place and must be followed
and enforced.
The role includes exposure to:

POSITION TYPE / EXPECTED HOURS OF WORK
This is a full-time position, generally scheduled Monday to Friday.
Flexibility in hours is required to meet the operational needs of Paris Child Care. The Program Supervisor – School Age
Programs may be required to adjust hours, attend meetings outside regular hours, and provide direct program support or
staffing coverage when required.
The Program Supervisor – School Age Programs is expected to divide their time between assigned school age program
locations based on operational need.
TRAVEL
Travel is required between all assigned Paris Child Care school age program locations.
