The Hotel Night Auditor/ Front Desk Agent is a front-line professional that ensures a positive overall impression of the property as well as assists with all aspects of guest services. In addition to reconciling daily transactions, they assist guests in an efficient, courteous and professional manner that maintains high standards of service and hospitality.
Key Responsibilities:
- Register arriving guests and assign rooms
- Process group arrivals & departures
- Take, cancel & change room reservations
- Process guests' departures, calculate charges & receive payments
- Process telephone calls
- Provide general information to guests about the hotel facilities & services, points of interest in the area and services available in the community
- Arrange services required for guests with special needs
- Process wake-up calls
- Balance cash & complete balance sheets, cash reports & related forms
- Maintain occupancy statistics
- Follow emergency & safety procedures at all times
- Perform clerical duties (i.e. filing, photocopying)
- Perform light housekeeping & cleaning
- Maintains a high level of professionalism in all aspects of job performance
- Ensuring that the Guest Services Standard Operating Procedures are being adhered to
- Manage nightly hotel operational activities
- Manage same-day room inventory and yield management
- Effectively maximizes inventory levels during high occupancy/sold out nights
- Verify that revenue from all sources is accurately balanced and stated in the property management system; investigate, correct and follow up on any discrepancies
- Produce daily reports for departments and department heads
- Produce and distribute the daily Sales and Labour Report within the designated timeline to management
- Transmit batch credit reports to credit card processor
- Complete and verify all banquet postings in a timely manner
- Pre-balance of the Sales reports
- Other duties as assigned by the Front Desk Manager and Hotel Accountant
- Knows all emergency procedures and general crisis management, including fire and emergency procedures, and Health & Safety standards
Requirements:
- Both Night Audit shifts and Front Desk Agent shifts are required
- Minimum 1-year previous experience in Night Audit operations
- Minimum 2 years' previous experience in Front Desk operations
- Knowledge of computerized Front Desk systems required with emphasis in roomMaster an asset
- Excellent analytical, mathematical, and problem-solving skills
- Proficiency in Microsoft Word and Excel
- Must be able to work shift work, including days, nights, weekends and holidays as scheduled
- Professional, friendly attitude
- Security Clearance required prior to offer of employment
- Possess sensational customer service philosophy
- Highly organized, results oriented and ability to work in a multi-functional team environment
