Position Title: Benefits & Pension Coordinator
Contract Duration: 12 month term
Salary & Benefits: $55,000-$65,000, benefits and 3 weeks vacation

The Benefits & Pension Coordinator will play a vital role in delivering high-quality employee programs that support a diverse and growing workforce. Reporting to the Manager, Benefits and Pensions, this role is responsible for the administration of benefit and retirement programs across multiple Canadian business platforms while ensuring an exceptional employee experience. The Coordinator will act as a trusted resource for employees, collaborate with HR teams, and contribute to wellness and engagement initiatives that align with organizational goals and values
Responsibilities
Benefits Administration
- Administer the company’s group benefits programs, including health, dental, vision, life, disability, and the Employee Assistance Program (EAP).
- Review, process, and reconcile benefits invoices, ensuring accurate coding, approvals, and coordination with Accounts Payable.
- Monitor the shared benefits mailbox and act as the first point of contact for employee questions, providing timely and accurate guidance.
- Coordinate and track employee leaves of absence (parental, disability, and other approved leaves), ensuring compliance with policies and legislation.
- Maintain and update employee records in HRIS and carrier systems following life events, job changes, and other updates.
- Keep benefits-related communications up to date on the company intranet, ensuring employees have access to accurate and clear information.
- Support and lead wellness initiatives such as flu shot clinics, mental health awareness campaigns, and financial literacy programs.
Pension Administration
- Administer defined contribution and defined benefit pension plans, ensuring accuracy and compliance in day-to-day operations.
- Process and reconcile pension invoices, liaising with vendors and Accounts Payable to ensure accuracy and timely payment.
- Coordinate logistics for pension-related activities such as employee information sessions, seminars, and renewal meetings.
- Assist with government filings, audits, and other reporting requirements related to pension plans.
- Support ongoing pension audits and year-end reporting activities, ensuring compliance with internal controls and regulatory standards.
- Maintain pension-related communications on the company intranet to keep employees informed and engaged.
General
- Provide support with special projects and audits as required.
- Contribute to the continuous improvement of benefits and pension processes to enhance efficiency, compliance, and employee experience.
The ideal candidate will have 1+ years of experience working in a fast-paced HR or administrative environment and will bring strong analytical skills with a high degree of accuracy and attention to detail. They will demonstrate excellent oral and written communication abilities, along with the interpersonal skills needed to adapt to different styles and build cooperative relationships with employees at all levels of the organization. The successful candidate will be professional, tactful, and able to exercise sound judgment while managing competing priorities in a dynamic environment. Experience in benefits, pensions, or leave administration will be considered a strong asset, as will bilingualism in French and English.
