Position Overview
We are seeking a highly organized and detail-oriented Operations & Revenue Coordinator to support invoicing, financial processes, scheduling, pricing execution, dealer coordination, and day-to-day operations. This is a hands-on execution role focused on maintaining accuracy, improving workflow efficiency, and supporting the business as it scales.
1. Financial & Pricing Administration
· Create and manage invoices in QuickBooks
· Track payments and follow up on outstanding invoices
· Support day-to-day bookkeeping and expense tracking
· Assist with internal reporting and financial organization
2. Payroll Support
· Prepare and process payroll based on approved inputs
· Maintain accurate employee and payroll records
· Ensure timely and accurate payroll cycles
Note: This role supports payroll execution but does not include complex payroll compliance or tax decision-making.
3. Operations & Coordination
· Schedule installations and service activities
· Maintain job tracking and installation checklists
· Organize customer files, contracts, and documentation (OneDrive/SharePoint)
· Ensure internal processes are followed and documentation is kept current
4. Dealer Setup & Logistics Coordination
· Coordinate onboarding of new dealers
· Manage dealer documentation and setup requirements
· Support order coordination and product logistics
· Track shipments, deliveries, and inventory movement
· Act as a point of coordination between Sales, the Service team, and Dealers
· Ensure dealer orders are accurate, processed, and fulfilled on time
5. Pricing & Product Management
· Update and maintain product pricing based on internal direction
· Ensure pricing consistency across the website, quotes, and invoices
· Implement promotions and temporary pricing updates
· Identify and flag pricing inconsistencies or discrepancies
6. Website Management (Execution Only)
· Update product pricing and approved product content
· Add and maintain products based on internal direction
· Upload provided descriptions, images, and content
· Perform ongoing quality checks to ensure accuracy
Note: This role does not include website design, layout changes, or marketing strategy.
Financial Controls & Responsibilities
This role supports financial processes while maintaining clear oversight and controls.
· Included: Payroll processing (execution), bookkeeping and transaction management, GST tracking and proper categorization, bank and credit card reconciliation
· Not Included: GST filing or tax submissions, CRA communication or compliance ownership, independent financial decision-making, movement or approval of funds
Note: All financial approvals and tax filings remain under management oversight or external accounting support.
Qualifications
· Experience with QuickBooks (required)
· Strong organizational and time-management skills
· High attention to detail, especially with financial data and pricing
· Comfortable working with Microsoft 365 (Teams, SharePoint, Excel)
· Experience with website updates (Wix or similar platforms preferred)
· Ability to work independently and follow structured processes
Preferred Experience
· Experience working with dealers, distributors, or logistics coordination
· Inventory or order tracking experience
· Experience in a small business, service, or trades-based environment

· Invoices are issued accurately and on time

Role Structure
Part-time (25–30 hours/week)
Potential to transition to full-time as the business grows
Flexible/hybrid work options depending on candidate
Job Type: Part-time
Pay: $25.00-$33.41 per hour
Expected hours: 20 – 30 per week
Work Location: Hybrid remote in Calgary, AB T3Z 3K8
