We are eeking a reliable, organized, and customer-focused Part-Time Community Coordinator / Administrative Assistant to support the daily operations of our coworking and business centre in Bedford, Nova Scotia.
This position is responsible for front desk service, member support, office administration, meeting room coordination, virtual office services, and general facility operations. The successful candidate will be professional, detail-oriented, comfortable working independently, and able to manage multiple priorities in a business environment.
This is an on-site, permanent part-time position.
Responsibilities
- Welcome members, visitors, prospective clients, couriers, and service providers in a professional and friendly manner
- Manage front desk operations and respond to telephone, email, and in-person inquiries
- Monitor and respond to messages sent to the company’s shared email account
- Provide day-to-day support to private office, coworking, meeting room, and virtual office members
- Receive, sort, record, and distribute mail and packages for virtual office and business centre clients
- Coordinate meeting room and event space bookings, including room preparation and post-use checks
- Assist prospective clients with tours, basic membership information, and follow-up communications
- Maintain accurate client records, contact information, booking records, and internal documents
- Prepare basic correspondence, forms, notices, spreadsheets, and reports
- Assist with invoicing, payment follow-up, expense records, and basic QuickBooks Online tasks
- Monitor office supplies and arrange restocking when required
- Conduct routine checks of offices, common areas, kitchens, meeting rooms, equipment, and washrooms
- Report maintenance, internet, security, cleaning, or facility issues promptly
- Help maintain a clean, organized, professional, and welcoming business environment
- Support member communications, community activities, networking events, and promotional initiatives
- Maintain confidentiality when handling client, company, payment, access, and business information
- Complete daily task updates and communicate unresolved matters to management
- Perform other reasonable administrative and operational duties as required
Qualifications and Experience
- Previous experience in office administration, customer service, reception, hospitality, property administration, or a similar role
- Strong verbal and written English communication skills
- Professional and confident when dealing with clients, visitors, and service providers
- Strong organizational skills and attention to detail
- Able to prioritize tasks and work independently with limited supervision
- Reliable, punctual, and comfortable taking responsibility for opening or managing the facility during scheduled hours
- Proficiency with Microsoft Word, Excel, Outlook, and cloud-based document systems
- Comfortable learning booking, membership, access-control, and customer-management software
- Experience with Google Workspace is an asset
- Experience with QuickBooks Online or basic bookkeeping is an asset
- Experience in coworking, hospitality, office management, property management, leasing, or membership-based services is an asset
- Sales, social media, or event coordination experience is an asset
Schedule
- Permanent part-time
- Approximately 15–20 hours per week
- Primarily Monday to Friday
- The successful candidate must be available for a consistent scheduled shift
- Occasional schedule flexibility may be required for staff coverage or events
Pay: From $19.23 per hour
